The Senior Administrator, Office Manager plays a pivotal role in ensuring seamless operations across Brook’s Bellevue office and providing high-level administrative support to our executive team. This position combines operational excellence with strategic partnership, supporting leaders in a fast-paced, mission-driven environment.
The ideal candidate is a proactive problem solver who thrives on organization, communication, and helping others succeed. This role requires exceptional attention to detail, strong judgment, and the ability to anticipate needs in a dynamic setting.
This is an in-office position based in Bellevue, WA. Some travel may be required.

Key Responsibilities :
- Executive and Office Support : Manage day-to-day operations of the Bellevue office while providing strategic administrative support to the executive team. Oversee facilities, supplies, and vendor relationships to ensure efficient office function.
- Calendar and Meeting Management : Coordinate complex calendars and scheduling across multiple time zones. Organize executive meetings, prepare agendas, compile documentation, and follow up on action items.
- Presentation and Communication Support : Design and prepare Google decks and executive materials for internal and external meetings, proposals, and presentations. Ensure quality, accuracy, and design consistency.
- Strategic Partnership : Serve as a trusted partner to the executive team by anticipating needs, exercising discretion with sensitive information, and managing shifting priorities with professionalism.
- Operational Management : Coordinate cross-functional logistics including company events, team meetings, and onboarding for Bellevue-based staff. Collaborate with Finance and HR on employee engagement and office experience initiatives.
- Cross-Office Collaboration : Support communication and coordination across all Brook locations, ensuring consistency in administrative processes and operational standards.
Qualifications :
Alignment to our mission and values4+ years experience supporting C-level and senior executive team members.Experience supporting multiple executives at one time.Strong attention to detail when handling priorities, projects, and deadlines.Ability to be constructively direct and able to disagree without being disagreeable.Excellent written and verbal communication skills, time management skills and ability to multitask and prioritize work.Strong attention to detail and problem-solving skills.Able to communicate professionally both internally and externally with guests, vendors, interview candidates and board members.Excel in an ambiguous, high-growth, fast paced organization.Comfortable across different time zones, more specifically PST, EST and Australia.Working knowledge of contemporary collaboration and productivity tools - Google suite, Microsoft Office, Slack, Hubspot, Notion.Knowledge, Skills, and Abilities
Proven ability to manage complex administrative and operational workflows in a fast-paced environmentStrong written and verbal communication skills; able to communicate professionally across all levels of the organizationExcellent attention to detail, organization, and follow-throughComfortable working independently and exercising sound judgment in ambiguous situationsSkilled at managing multiple priorities with discretion and confidentiality
