About Mobile Loaves & Fishes

Mobile Loaves & Fishes (MLF) is a social outreach ministry that has been empowering communities into a lifestyle of service with the homeless since 1998. Founded in Austin, Texas, the organization serves its homeless neighbors through three core programs : Truck Ministry, Community First! Village, and Community Works. Often referred to as the most talked about neighborhood in Austin, Community First! Village is a 51-acre master planned development that provides affordable, permanent housing and a supportive community for men and women coming out of chronic homelessness. We are now embarking on a new phase of community expansion, adding more than 1400 new neighbors over the next 5-10 years.

About the Role

The Neighbor Administrator is a key member of the Property Management team at Community First! Village, responsible for providing direct service to neighbors through high-quality customer care, operational support, and administrative coordination. Core responsibilities include maintaining accurate tenancy files, managing rent payments, and issuing tenancy-related notices. In carrying out this work, the Neighbor Administrator helps strengthen the department's overall effectiveness and supports the Property Management team's mission of cultivating a community rooted in mutual respect, accountability, and goodwill. Success in this role depends on attention to detail, reliable financial recordkeeping, and careful management of neighbor information.

This is a full-time, non-exempt position reporting to the Property Manager. Due to the nature and requirements of the position, office hours typically include 8 : 30am-5pm Monday-Friday. Some nights and weekends may be required. The Neighbor Administrator is based at Community First! Village – Hog Eye North, located at 9116 Hog Eye Rd, Austin, TX 78724.

Duties & Responsibilities

  • Build and maintain healthy, supportive relationships with Community First! Village (CFV) neighbors.
  • Prepare and execute new leases for neighbors prior to move-in.
  • Manage tenant records in AppFolio property management software.
  • Collect and post monthly rent payments; coordinate deposits with the Accounting Team.
  • Reconcile accounts and process debt write-offs in collaboration with Accounting.
  • Apply and audit tenant charges, adjustments, and utility billing in AppFolio.
  • Audit daily rental payments against bank deposits and credit card receipts to ensure accuracy.
  • Manage and audit tenant key inventory to ensure security and accountability.
  • Print and issue neighbor access badges and parking passes.
  • Print and post delinquency notices.
  • Generate lease violation notices.
  • Manage on site package center.
  • Assist in managing Property Management special projects.
  • Respond promptly to neighbor concerns, service requests, and housing-related needs.
  • Assist neighbors with entering work orders into AppFolio.
  • Identify housing-related concerns and escalate to Neighbor Care leadership, assisting with supportive interventions.
  • Maintain confidentiality by securing sensitive neighbor information and conversations.
  • Attend required staff, relational stewardship, Town Hall, and departmental meetings.
  • Perform additional duties and responsibilities as assigned.

Knowledge, Skills, Abilities & Principles

  • Commitment to serving those who have experienced homelessness and personal alignment with MLF's vision, mission, core values, and goals.
  • Proficiency in Microsoft Excel and familiarity with the Microsoft Office Suite.
  • 1–2 years of property management or related administrative experience preferred.
  • Experience with data management and recordkeeping, with strong accuracy and organization.
  • Experience working in the nonprofit or social services sector, particularly with individuals impacted by mental illness, trauma, or addiction.
  • Excellent organizational and project management skills, with the ability to prioritize and manage multiple tasks in a fast-paced environment.
  • Proven ability to provide high-level customer service, including handling difficult or sensitive situations with professionalism and care.
  • Strong interpersonal skills with the ability to listen compassionately and serve others with dignity.
  • Collaborative spirit with the ability to work independently and within a team environment.
  • Must possess a valid driver's license.
  • Work Environment & Physical Demands

  • Ability to work at a computer for prolonged periods.
  • Ability and willingness to work outdoors in all weather conditions.
