We are seeking a highly organized and detail-oriented professional to manage payroll processing, HR onboarding / offboarding functions, accounts receivable, vendor invoicing, and banking operations. This role will be the backbone of administrative, payroll, and financial operations—ensuring accurate payroll runs, compliance with labor laws, timely journal entries, and smooth accounting processes.
The ideal candidate will be proactive, comfortable wearing multiple hats across HR, payroll, and accounting, and able to communicate effectively with employees, vendors, and management.
Key Responsibilities Payroll & HR Administration
- Run biweekly payroll, including reviewing timecards and resolving discrepancies.
- Manage employee onboarding, offboarding, and role changes.
- Provide training on Paylocity and timekeeping systems.
- Maintain and update employee accounts in Paylocity, procurement systems, and other HR platforms.
- Handle workers’ compensation claims, OSHA 300 reporting, and labor law updates / posters.
- Manage anniversary / holiday gifts, maintenance uniforms, and onboarding benefit pamphlets.
- Coordinate 401(k), WEX, HSA, and Lumity benefits administration, including employer elections.
- Prepare and respond to wage garnishments and state-level tax / unemployment account setups.
- Support employee HR-related inquiries and miscellaneous issues.
- Manage workers' compensation audits and labor compliance requirements.
Accounting & Financial Operations
Accounts Receivable (AR)
Track and process payments that aren't processed at the property level.Journal Entries
Record manual journal entries.Vendor Invoices & Allocations
Process invoices for key vendors that are not processed at the property level.Reconcile and manage credit card transactions.Banking & Month-End
Perform bank reconciliations, positive pay / reverse positive pay, and check runs.Assist with month-end closing tasks and reporting.Vendor & Compliance Management
Maintain vendor packets, W-9s, insurance certificates, and service agreements.Support audits and ensure documentation compliance for all vendors and labor laws.Requirements :
Bachelor’s degree in Accounting, Finance, HR, or related field preferred; equivalent experience accepted.3+ years in payroll, HR administration, or accounting operations.Familiarity with Paylocity or similar payroll systems required.Proficiency in accounting software, Excel, and cloud-based platforms.Strong organizational skills with attention to detail and accuracy.Ability to handle sensitive information confidentially.Excellent communication and problem-solving skills.
