The shop dispatcher is the quarterback of any retail automotive service operation. Scheduling work, promoting efficiency and productivity, and keeping customers satisfied are keys to a dealership’s success.
Responsibilities :
- Responsible for promoting exceptional levels of shop efficiency and
productivity.
Responsible for doing all that is necessary for service customersatisfaction
Responsible for developing and maintaining effective communicationbetween the shop and parts department employees.
Responsible for maintaining a clean and orderly shopResponsible for taking on whatever duties the service manager assignsTracks shop workload to ensure timely repairs.Dispatches work based on Technician's skill level and promise time to ensure vehicle is fixed correctly the first time on time. Ensures 100% customer satisfaction.Tracks technician productivity to ensure fair distribution of work.Maintains a service scheduling form (route sheet) on an accurate and continuous basis.Checks and monitors progress of repairs throughout the day.
Maintains communication with Foreman, Management . Advisors and Technicians regarding job status.Provides additional vehicle condition information to the technical staff as needed.Properly documents repair order changes.Ensures that the flat rate time or other required timekeeping according to the service department and / or manufacturers procedures has been met.Books outlines on RO's as the Technician completes the job.Uses appropriate billing tools and follows all Manufacturer, State and Federal requirements.Conducts business with sincerity, honesty and genuine concern for customers.Tracks of all carryovers ensuring timely completion of vehicle repairs.Pre-schedules appointments for all special ordered parts.Monitors the status of special order parts on a daily basis.You need...
Two (2) or more years’ experience as a dispatcher for an automotive dealership / service department preferredOutstanding communication skills, both verbal and written.High school diploma or equivalent.Valid driver license in the state that you will work and a good driving record.and workloadCommunicate with customers to gather necessary information and schedule service appointmentsEnsure technicians have necessary parts and tools to complete the jobMonitor and update status of service orders using computer systemsFollow up with customers to ensure satisfaction and address any concernsMaintain accurate records of service orders, repairs, and customer interactionsMonitor and manage technician productivity and performanceMaintain a clean and organized service departmentAdhere to all company and industry safety and quality standardsPrevious technician or technical experience a plus!Understanding of the service work-flow processProficient at operating a personal computer including Microsoft Office : E-mail, Excel and Word.ADP / CDK Dealer Services Experience a plus.Ability to work independently and be self-motivated.Great attitude with high-energy personality.Excellent customer service skills.Professional appearance and work ethic.Strong attention to detail.Company Description
