Executive Assistant II
This position involves providing independent, high-level support and leading employee engagement for multiple directors in the Accounting team. The role demands excellent organizational skills, attention to detail, and the ability to manage multiple critical tasks efficiently. The Executive Assistant will act as a seamless extension of their leaders, working autonomously on various projects, and maintaining professionalism and discretion in handling confidential information.
Responsibilities :
- Effectively and proactively support multiple leaders within the Accounting organization, including complex calendar management and scheduling across multiple locations.
- Manage expense reimbursements, including report coordination, submission, and issue tracking.
- Coordinate global schedules and travel arrangements, including cost-effective air, hotel, and ground transportation, and create detailed travel itineraries.
- Organize and execute team activities, staff meeting agendas, all-team meetings, off-sites, and team social events.
- Track and drive the completion of key deliverables and follow up on outstanding items, including meeting notes and action items.
- Work closely with the leadership team and other Executive Assistants to support the organization.
- Create, edit, and prepare documents and presentations.
- Develop and maintain new mechanisms within the team.
Essential Skills :
5 years of executive leadership support or 3 years of equivalent experience.High school or equivalent diploma.Proficiency in Microsoft Office products and applications.Experience with calendar management for several leaders across different time zones using Outlook.Event planning experience.Experience managing expenses in Concur.Experience with domestic and international travel booking, including visas.Additional Skills & Qualifications :
Bachelor's degree (preferred for potential full-time conversion).Experience leading process improvements.Experience in a fast-paced, high-tech company.Experience designing processes to maximize efficiency.Work Environment :
The role is 100% onsite at the corporate office in Arlington, VA, US. The work environment offers a flexible schedule, generally from 9 AM to 5 PM, with later hours as needed for events and meetings. The position requires a commitment to 40 hours per week with no option for overtime. Pay and Benefits :
The pay range for this position is $28.00 - $30.00 / hr. Eligibility requirements apply to some benefits and may depend on your job classification and length of employment.
