Job description

Position Summary :

Positive Investments, Inc. is seeking a highly organized and detail-oriented Administrative Assistant to support our construction warehouse operations within the property management industry. This full-time, on-site role is ideal for a proactive professional who thrives in a fast-paced environment and is comfortable juggling a mix of traditional administrative tasks with special compliance and reputation management responsibilities.

Key Responsibilities :

Administrative Support

  • Provide general administrative support to the construction team.
  • Prepare reports, memos, letters, and other documents as needed.
  • Maintain organized filing systems, both electronic and physical.
  • Maintains accounting and payables for construction.

Reputation & Online Presence Management

  • Provide payment status to vendors, manager or supervisors
  • Open mail
  • Prepare & sort petty cash
  • Enter invoices on Yardi
  • Supervisor invoice get approved
  • Sort checks and invoice attached check subs
  • Get checks signed
  • Prepares checks to mail out or sort to proper supervisor
  • Provided status on payments
  • Other Duties

  • Assist with special projects and support other departments as needed.
  • Laundry Services Management : Manage contracts, maintenance, and renewals related to laundry services across all company sites.
  • Vendor Relations : Serve as the primary point of contact for vendors, managing communications, negotiating service agreements, and ensuring timely delivery of services.
  • Qualifications :

  • 2+ years of administrative or office management experience preferred.
  • Prior experience in property management or real estate industry a plus.
  • Strong written and verbal communication skills.
  • Excellent organizational skills and attention to detail.
  • Comfortable managing multiple priorities and meeting deadlines.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook).
  • Familiarity with Yelp, Google Reviews, or similar platforms is a plus.
