D3 Search seeks a Snr. Legal Executive Assistant for a respected and prominent CA-based law practice with a well-established office located in downtown Los Angeles, CA (90071)

Position Title :

Snr. Legal Executive Assistant

  • Note : 5+ years previous high level executive assistant (EA) & litigation experience required.

Los Angeles, CA (90071)

Employer Work Model :

Hybrid 3 / 2 work model (3 onsite & 2 remote).

Position Summary :

The Snr. Legal Executive Assistant provides high-level administrative support to the Firm’s Managing Partner (MP) and Executive Director (ED), as well as operating as the MP’s legal practice assistant, ensuring effective and timey attention to important legal matters. This position also serves as a liaison to the Executive Committee and senior leadership; organizes and coordinates executive outreach and external relations efforts; and oversees special projects.

The Snr. Legal Executive Assistant must be creative and thrive in an entrepreneurial environment. The ideal candidate utilizes sound judgment across a variety of situations, demonstrates exceptional written and verbal communication skills, and brings strong organizational and administrative abilities. This position requires the ability to balance multiple priorities effectively, operate in a fast-paced setting, and maintain the highest level of professionalism and confidentiality.

Key Non-Legal Responsibilities :

  • Manage complex calendars, scheduling meetings, and coordinating travel arrangements to optimize executives' time. This role may require travel with the MP and / or ED.
  • Travel arrangements include pre-, during and post trip tasks such as : researching destinations, booking flights and accommodations, coordinating complex itineraries, managing travel documentation and budgets, and providing on-site support during a trip, logistics management, expense reporting and debriefing.
  • Prepare and organize meeting materials, including agendas, presentations, and minutes to ensure all stakeholders are aligned.
  • Assist in the preparation of reports, presentations, and correspondence, ensuring accuracy and timely delivery.
  • Proactively identify areas for process improvement and implement solutions to enhance productivity.
  • Serve as a liaison between executives and internal / external stakeholders, demonstrating professionalism and tact.
  • Handle confidential information with discretion, maintaining strict confidentiality.
  • Take and deliver accurate messages; respond to requests by gathering and providing information and referring non-routine calls to the appropriate staff.
  • Prepare, track, and reconcile expense reports in a timely manner.
  • Key Legal Responsibilities :

  • Draft, review and revise legal and non-legal documents including correspondence and memoranda, pleadings, PowerPoint presentations, budgets, etc.
  • Format court pleadings according to applicable court rules and generate Tables of Authorities (TOA) and Tables of Contents (TOC) using Firm software.
  • Demonstrate understanding of, and facility with, local rules of court, municipal, state and federal rules of procedure.
  • File documents with courts and administrative bodies, including electronic filing where applicable.
  • Demonstrate understanding of municipal law documents, including staff reports, resolutions, ordinances, agendas and notices.
  • Maintain electronic and physical case files.
  • Required &Preferred Qualifications / Required :

  • High school diploma required.
  • 5+ years of experience supporting senior executives, preferably in a fast-paced environment.
  • 5+ years of legal secretary / legal assistant (civil litigation) experience.
  • Proven ability to manage multiple tasks and prioritize with exceptional attention to detail.
  • Exceptional written and verbal communication skills, with a keen eye for detail.
  • Strong proficiency in MS365 (Word, Excel, PowerPoint, Outlook), project management tools, document management systems (iManage), CCC Macros, etc.
  • Ability to work independently and demonstrate initiative while maintaining a collaborative mindset.
  • Ability to take direction and apply corrections to future revisions.
  • Superior customer service skills.
  • Preferred :

  • Bachelor’s degree or paralegal certificate.
  • Appellate experience.
  • Salary / Compensation :

    Annual salary / comp. is up to 120K (DOE / DOQ) plus a comprehensive and industry-leading benefits package.
