Facilities Manager DC Region

The Facilities Manager will be the single point of contact responsible for facilities management, assisting the JLL Regional Management team and the Client Corporate Real Estate team with the delivery of quality facility management services. Primary responsibility is to provide leadership and direction for the efficient operations and oversight of all Hard Services including, but not limited to, maintenance of all facility electrical, mechanical, structural, and life safety. The role will be charged with procurement of property supplies and services, issuing purchase orders, managing bid requests and service / construction contracts, and oversight of the site operating budget.

Primary Responsibilities

  • Function as an interface with client, visitors and guests and ensure appropriate follow up with customers.
  • Assure an effective communication protocol is in place on both JLL Corporate and Clients alike, as well as with account staff, peers, subordinates, senior managers, and vendors.
  • Respond promptly and accurately to email and phone communications.
  • Actively participate in meetings sharing ideas and solutions as may be appropriate.
  • Instill a high-level of performance expectations from team members to include client focus, open and timely communication up and down the organization and encourages risk taking and innovation.
  • Collaborate with Account Leadership and Client to develop goals, objectives and focus areas for Workplace Experience Services and Integrated Service Delivery on the account.

Compliance & Operations

  • Monitor overall workflow to assure timely completion within established SLA's.
  • Meet or exceed customer satisfaction rating. Work closely with engineering teams to assure completion of scheduled PM's and adherence to compliance processes.
  • Monitor capacity and respond to identified changes gaining stake holder approvals via the change control process.
  • Assure all facilities evaluated are in compliance and pass the JCAP Operations audits.
  • Implement best practices and monitor their effectiveness keeping the Client informed of the value-add measures being introduced.
  • Inspect facilities on a consistent basis. Participate in cross area facility inspections to assure consistent delivery of services.
  • This individual will ensure all contract deliverables are met or exceeded, including operational up time, cost savings initiatives, energy consumption reduction initiatives, and service improvements and introduction of best practices and innovations.
  • Manage operations, maintenance, and capital improvements of all Life Safety, Mechanical, Electrical, Plumbing, HVAC, Security and Elevator systems.
  • Analyze equipment downtime ramification and develops Emergency Response Action Plans (ERAP) in the event of equipment failure.
  • Capabilities to provide project facilities support and technical input for projects scope of work as required to ensure site infrastructure and operations needs are met.
  • Effectively manage communications across regions / geographies between team and customer contacts, particularly in instances of service outages, facilities SOW gaps, including managing root cause analysis to avoid repeat failures or lapses in service delivery.
  • Team Management

  • Reporting to the JLL Regional Senior FM this manager will mentor, guide, and lead the site and handle site operations.
  • Provides oversight of staff, with input on selection, counseling, appraisals, and recognition, recommending salary, promotional, disciplinary, termination, and other personnel actions.
  • Exhibit leadership qualities and enthusiasm being the guidepost for others to emulate to assure your team is high performing.
  • Assure teams are completing required training and encourage additional training where appropriate.
  • Mentor and counsel employees regarding career plans coaching them to the next level. Identify succession planning where appropriate and coach up or out when required.
  • Complete direct report employee reviews on time and assure quality conversations are collaborative and open in content and dialogue.
  • Provide coaching and leadership to identify, inspire and communicate best practices creating opportunity for others to participate in the tactical delivery.
  • Oversees training and support aimed at expanding the capabilities of the operations and maintenance staff, ensuring staff productivity and efficiency.
  • Establishes clear goals and objectives for direct reports. Advances the firm's diversity and inclusion priorities by focusing on talent moves, i.e., hiring, rotation, and promotion.
  • Administrative Function

  • Finance Analysis and accurate reporting and forecasting are achieved relative to established Performance Plan and other objectives. Demonstrate the ability to interpret and explain results and variances. Engineering Operating Budget / forecast development and adherence. Tracking of savings and cost avoidance. Capital Budget development and adherence where control remains with JLL.
  • Project Management demonstrate the ability to manage and oversee project development and execution while adhering to established policies and budgets.
  • Sourcing Evaluate and assure service levels are met, right size where appropriate with Client concurrence. Develop (in conjunction with Sourcing Manager) sourcing plan that includes appropriate MWDBE bidders, (Minority, Women and Disadvantaged Business Enterprise (MWDBE) Program. Assist with RFP / RFQ process in support of Client objectives. Demonstrate the ability to understand and manage vendor contracts and client leases. Provide tactical operational facilities support, oversight, and performance of key JLL 3rd-party supplier partners and client strategic alliance partners.
  • Qualifications :

  • Minimum of 2-4 years' experience in facilities or property management.
  • Knowledge of commercial real estate, project management and real estate finance fundamentals.
  • Accomplished thought leader. Has a successful track record of delivering strategic operating plans through leading practices and rigorous performance standards.
  • Exemplary Client Relationship Management skills managing up and down within a high-performing JLL and Client organization.
  • Strong team builder. Motivates, develops, and challenges team members to maximize their own, and teams' potential.
  • Proven time management and delegation skills with the ability to manage multiple priorities and deliver results in a fast-paced, heavily matrixed environment.
  • A credible, impactful communicator and operates with a "no surprise" approach. Prepares succinct and impactful communication updates for Senior Executives detailing visible activity within the Region.
  • Strong analytical ability, judgment, problem-solving and crisis management skills with the ability to gather data, assess situations and quickly develop and execute solutions.
  • Excellent interpersonal and relationship building skills.
  • Must be technically proficient in basic computer applications, CMMS, Microsoft Office, Power Point, Visio, and Microsoft Teams software.
  • Technology and Tools : Proficient in a range of information technology tools and platforms.
  • Associate or bachelor's degree in Facilities, Property, Business, or related field desirable.
  • Strong analytical, organizational and presentation skills.
  • Estimated total compensation for this position : 102,000.00 110,000.00 USD per year
