Position Overview :

The Executive Assistant to the CEO provides high-level administrative and operational support to ensure the CEOs office runs efficiently and effectively. This position requires exceptional organizational skills, discretion, and the ability to manage multiple priorities in a fast-paced, dynamic environment. The ideal candidate is proactive, professional, and capable of anticipating needs while maintaining strong communication across departments and projects.

  • Manage and maintain the CEOs calendar, including scheduling meetings, travel arrangements, and appointments.
  • Act as the primary point of contact between the CEO and internal / external stakeholders.
  • Prepare, edit, and organize documents, reports, and presentations for executive meetings.
  • Track company and project priorities to ensure timely follow-ups and completion of tasks.
  • Coordinate communication between the CEO, management team, and field operations.
  • Handle confidential information with professionalism and discretion.
  • Assist with reviewing and organizing work orders, contracts, and project documentation as needed.
  • Attend meetings, take notes, and prepare summaries or action plans.
  • Support in organizing company events, leadership meetings, and special projects.
  • Monitor deadlines, key initiatives, and ongoing business goals to ensure alignment with executive objectives.
  • Perform other administrative and operational duties as assigned to support the CEO.
  • Qualifications :

  • 3+ years of experience as an Executive Assistant or in a senior administrative role (experience supporting C-level executives preferred).
  • Excellent written and verbal communication skills.
  • Highly organized with strong attention to detail and ability to manage multiple priorities.
  • Proficiency in Microsoft Office Suite, Google Workspace, and project management tools.
  • Ability to exercise discretion with sensitive information.
  • Professional, adaptable, and able to work independently with minimal supervision.
  • Experience in a construction, or project-based industry is a plus.
