Receptionist & Data Entry Specialist
Key Responsibilities :
Receptionist / Administrative Duties
- Greet and Welcome : Warmly greet and direct visitors, clients, and vendors in a professional manner.
- Communication Hub : Answer, screen, and route all incoming phone calls and manage general email inquiries promptly and professionally.
- Scheduling : Coordinate and schedule appointments, meetings, and initial consultations for the sales or project teams.
- Office Management : Maintain a tidy and organized front office area, manage incoming / outgoing mail and deliveries, and order office supplies as needed.
- Support : Provide general administrative and clerical support to various departments, including preparing documents and presentations.
Solar Data Entry & Support
Data Input : Accurately and efficiently enter critical data related to solar projects into the company's CRM, project management software, and spreadsheets (e.g., project milestones, permitting details, inspection dates, customer information, equipment lists).File Management : Create, organize, and maintain both digital and physical project files, ensuring all required documentation (contracts, permits, designs, close-out photos) is complete and easily accessible.Accuracy Check : Review data for errors, inconsistencies, or discrepancies, and correct as necessary to ensure data integrity.Reporting : Assist in generating basic reports or summaries related to solar project pipeline and data metrics.Follow-up : Communicate with solar project managers or sales team members to obtain missing or clarifying data points.Qualifications :
Experience : Proven experience in a receptionist, administrative, or data entry role. Experience in the construction, roofing, or solar industry is a plus.Technical Skills : Proficient in Microsoft Office Suite (especially Excel) and standard data entry software. Familiarity with CRM systems or project management tools is highly desirable.Attention to Detail : Exceptional focus on accuracy and detail in data entry and administrative tasks.Communication : Excellent verbal and written communication skills with a professional and friendly demeanor.Organization : Strong organizational and time management skills, with the ability to multitask and prioritize work effectively in a fast-paced environment.MUST BE : Bilingual Spanish.Education : High school diploma or equivalent.Schedule : Monday - Friday (7 : 00AM - 4 : 00PM) Pay Rate : $19.00 - $21.00 Per Hour Based on experience
