Position Purpose and Summary
The Human Resources Specialist I | Digital Records primarily works in records management, storage, and organization. The position is responsible for ensuring that paper-based personnel records and other HR related documents are digitized and appropriately filed into Cloud storage systems. The Human Resources Specialist I | Digital Records has an extensive background in HR Generalism and can assess documents knowing where and how to classify documents appropriately.
The Human Resources Specialist position may secondarily contribute to supporting the HR Team in all aspects of Human Resources as a support. This includes being knowledgeable and prepared to offer support with general HR functions including employee relations, recruitment, employee training and development, policy interpretation, and compliance with all applicable state and federal laws. The Human Resources Specialist provides support in these areas as directed.
Primary Duties and Responsibilities
Responsible for drafting a protocol and process for storing personnel records in ADP WFN Document Cloud; as well as gaining approval from the Director of HR.
Responsible for collaborating with HR Management to identify needed protocols and processes for digitizing and / or storing files in the team’s Google Drive.
Establish a method for a systematically scanning all paper documents and files into digital storage
Ensure organization of files and documents using naming conventions
Ensure each active employee’s paper file is converted to digital in ADP
Establish protocols and processes for ongoing digitization of records
Identify and log anomalies or discrepancies to be addressed or corrected as each personnel file is reviewed.
Secondary Duties and Responsibilities
Administrative and clerical duties as needed to support the position and HR department.
Other duties, as assigned.

Demonstrated ability to utilize computers, software, and internet based applications
Sound knowledge and work experience related to employment paperwork, and personnel records maintenance
Familiarity with ADP Workforce strongly desired
