Job description

Office & Administrative Management

  • Oversee day-to-day office operations and serve as the primary contact for internal staff and external vendors.
  • Manage office supplies, inventory, and equipment maintenance.
  • Coordinate scheduling, travel, and meeting logistics for leadership and staff.
  • Assist with preparing presentations, correspondence, and reports as needed.
  • Handle incoming communications and ensure timely follow-up on requests.

HR & People Operations

  • Support onboarding and offboarding processes, including equipment setup, training schedules, and new hire documentation.
  • Maintain employee records and coordinate with HR on benefits, payroll, and compliance needs.
  • Help organize team events, staff meetings, and internal communications to support company culture.
  • Finance & Operational Support

  • Process invoices, expense reports, and purchase orders in collaboration with accounting.
  • Track budgets for office-related expenses and manage vendor contracts.
  • Assist with financial recordkeeping, reporting, and reconciliation as needed.
  • Facilities & Vendor Management

  • Manage relationships with property management, cleaning, IT, and other service providers.
  • Ensure the workspace is well maintained, safe, and aligned with company needs.
  • Support planning for office moves, renovations, or expansions if applicable.
  • Qualifications

  • Bachelor’s degree or equivalent professional experience.
  • 3–6 years of experience in office management, operations, or administrative support.
  • Excellent organizational and multitasking skills with strong attention to detail.
  • Strong communication and interpersonal skills.
  • Proficiency with Microsoft Office Suite, Google Workspace, and office management systems.
  • Ability to handle confidential information with discretion.
  • Self-starter who can anticipate needs and work independently with minimal supervision.
