Service and Controls Administrative Assistant / Department Administrator
Location : 460 Ludlow Avenue, Cranford, New Jersey

As we continue to grow, we are looking for a dynamic Associate to ensure that we continue to take care of our customers in a professional and effective manner.
This position is full-time and requires strict attention to detail, prioritizing work to meet deadlines and the ability to manage multiple demands. Prior experience with a Commercial HVAC service company and NJ Energy Efficiency programs is strongly preferred.
Key Responsibilities
- Assist with Permit Procurement and Inspection scheduling.
- Assist in filing service and controls specific important documents.
- Assist with gathering submittals and approval tracking.
- Assist with purchase order procurement.
- Assemble closeout documents at project completion for subcontractors and vendors by obtaining all necessary paperwork needed to close the job.
- Attend various meetings and prepare meeting minutes for distribution.
- Track active service, controls and project specific documents and file electronically as required.
- Archive old project files and data electronically.
- Electronically file drawing, specification, and important document updates.
- Assist in sending out / following up with bid documents for vendor quotes.
- Type controls and service proposals, log, and follow up with recipients.

Previous experience in an administrative or office support role preferred.Strong organizational skills with attention to detail.Excellent customer first communication and interpersonal abilities.Proficient in Microsoft Office Suite (Outlook, Excel, Word, SharePoint).Ability to multitask and prioritize in a dynamic work environment.Comfortable working independently and collaboratively with multiple departments.Training to be provided for company processes.Knowledge of Build Ops, Bidtracer, Procore, software's a plus.Knowledge and proficiency in New Jersey energy efficiency programs and paperwork.Benefits
