Job Details
We are seeking a dynamic and experienced Office Manager and Executive Assistant. The ideal candidate possesses a calm, professional and polished demeanor with an eye for detail and strong organizational skills. This is a permanent position to coordinate and maintain the office, handle vendor payments and manage those relationships, work closely with the CFO on bookkeeping, support the executives, and ensure guest visits run to the highest standard.
Responsibilities
Office ManagerManage office vendors and service providers including phone and security systems.Help collect financial records and documents, including invoices, and receipts.Analyze financial records for vendor discrepanciesUse QuickBooks to help with recordkeepingOrder and stock office supplies, ensuring the office runs smoothly.Coordinate lunch orders from the caterer and manage meal logistics.Greet and direct guests with professionalism and courtesy.Answer and direct incoming phone calls.Handle incoming and outgoing mail and packages.Filing, copying, and document management.Maintain kitchen and conference room cleanliness and organization.Ensure and improve the efficient operation of the office.Executive AssistantScreen calls.Manage calendars and schedules.Coordinate and book travel arrangements.Organize meetings, ensuring logistics are handled.Manage personal documents such as passports and car registrations.Track and coordinate payment of personal bills for real estate, insurance, etc.Qualifications
Bachelor's degree preferred.A minimum of 3 years of proven administrative experience.Experience supporting senior managers or c-suite level execs.NotaryRequired Skills
Proficiency in MS Office, specifically Word and Excel.Excellent communication skills, both written and verbal.Extremely organized and able to multi-task.Strong calendar management and time management skills.High degree of accuracy and attention to detail.Ability to handle sensitive, confidential information with discretion.Excellent problem-solving skills.Ability to work independently and as part of a team.Proven track record of operating effectively within a fast-paced, dynamic environment.
