Job Summary

Our client is seeking a Surgery Scheduler who will coordinate surgical procedures and diagnostic testing for vascular physicians. The role involves timely scheduling, verifying insurance eligibility and pre-certifications, maintaining surgeon calendars, and providing administrative support to the clinical team. The Surgery Scheduler is crucial to delivering excellent patient service while maintaining professionalism and confidentiality.

Key Responsibilities

  • Schedule all vascular surgeries and procedures, including endograft, aortogram, VNUS, and sclerotherapy.
  • Confirm that hospitals and facilities are in-network with the patient's insurance.
  • Communicate surgery details and pre-operative instructions to patients via phone and mail.
  • Obtain pre-certifications for surgeries and procedures.
  • Coordinate with anesthesia, interventional radiology, product representatives, and hospital staff as needed.
  • Fax consults, pre-op orders, H&Ps, and test results to the appropriate hospital.
  • Send surgery notifications to referring physicians as requested.
  • Schedule and pre-certify outpatient diagnostic tests like CTAs, MRIs, and venograms.
  • Maintain vascular surgeons' calendars, including surgeries, clinics, meetings, and lunches.
  • Prepare and assemble new patient charts and request medical records from referring physicians or hospitals.
  • Answer calls promptly and professionally, maintaining a calm and courteous phone manner.
  • Contribute to a positive, collaborative team environment, and offer assistance to coworkers.

Qualifications

  • High school diploma or GED required.
  • 1-2 years of related medical office experience preferred.
  • Knowledge of medical terminology preferred.
  • Familiarity with computerized billing systems and accurate data entry.
  • Working knowledge of standard office equipment (fax, copier, postage meter, multi-line phone).
  • Skills

  • Strong communication and organizational skills.
  • Ability to read, interpret, and apply physician orders, notes, and procedural documentation.
  • Basic math proficiency (addition, subtraction, multiplication, division, fractions, and decimals).
  • Ability to follow detailed written and verbal instructions and solve problems within defined parameters.
