Core Logistics Brokerage, LLC is a growing and dynamic logistics firm committed to delivering efficient and reliable freight solutions nationwide. We are currently seeking a highly organized, proactive, and detail-oriented Executive Administrative Assistant to join our team in Coral Springs, Florida. This individual will play a critical role in supporting our Managing Directors and ensuring seamless administrative operations throughout the organization.
Position Overview
The Executive Administrative Assistant will serve as a key member of our administrative team, providing comprehensive support to the Managing Directors and overseeing a variety of core business functions. This role requires exceptional organizational skills, discretion, and the ability to manage multiple priorities in a fast-paced environment.
Key Responsibilities
- Provide direct administrative and commercial support to the Managing Directors
- Manage calendar scheduling, travel arrangements, and meeting coordination
- Oversee onboarding and offboarding processes for employees which align with established SOPs
- Provision software and equipment for new hires
- Reconcile employee expense accounts, including those of the executive team
- Monitor, track and log vendor payments through platforms such as PayPal and QuickBooks
- Maintain accurate financial records and reporting for all company transactions
- Oversee employee benefits administration including medical, dental, vision, 401(k), vacations, PTO and compensation-related matters
- Coordinate HR, IT, and accounting functions to ensure seamless workflow
- Maintain integrity of confidentiality with sensitive information at all times
Qualifications
Minimum 2+ years of experience in an executive administrative support roleStrong working knowledge of Microsoft Office Suite and QuickBooksExperience with expense reconciliation and vendor payment platforms (e.g., PayPal)Familiarity with employee benefits administration and HR onboarding proceduresExcellent written and verbal communication skillsStrong organizational and problem-solving skills with a proactive approachAbility to work independently and handle multiple tasks with minimal supervisionHigh level of professionalism, discretion, and integrityWhat We Offer
