A pioneering medical practice at the forefront of fertility treatment and research is seeking an Events Coordinator to join the team on a temporary basis. This role requires a time commitment of approximately one month, starting immediately!
Who You Are
- You have at least one year of hands-on experience coordinating corporate or medical industry events, and have planned at least one corporate or medical industry event from start-to-finish
- You communicate clearly and promptly with internal teams and external partners
- You’re comfortable using event tech platforms like WHOVA or similar tools
- You have experience crafting email campaigns and monitoring engagement metrics
What You’ll Do
Coordinate logistics across all aspects of the event, including registration, scheduling, catering, exhibitor setup, and venue communicationsLead attendee outreach and registration efforts through WHOVA and targeted email campaignsManage speaker arrangements for a global lineup of 30 presenters, including travel and accommodation supportEnsure smooth on-site execution across multiple stations with support from a 10+ person internal teamServe as the primary point of contact for vendors, sponsors, and speakers, ensuring timely and effective communicationWhat Success Looks Like
Attendee registration goals are met or exceeded through strategic outreachSpeakers, sponsors, and vendors receive timely, professional support throughout the planning processOn-site operations run efficiently with minimal disruptionInternal team members are well-coordinated and empowered to support the eventPost-event feedback reflects a high level of satisfaction from all participantsPay Rate : $28-35 per hour, based on experience
Time Commitment : One month, 9-5 Mon-Fri, with potential for extension
