Job description

Statement of Work (SOW) for Contractor Position : Creative Workflow Optimization and Systematization

Position Overview

This contractor role is focused on optimizing and systematizing the current creative content workflow for the creative team, including creative production , editing, and iteration processes. The contractor will leverage Miro to design and document workflows while working cross-functionally with departments such as Paid Media, Creative Design, Email / SMS, and CRO to enhance collaboration and efficiency. The role includes familiarizing with current processes, identifying gaps, and implementing improvements using AI‑driven creative strategy tools.

A key component of this role is to act as a researcher and thought-partner for the team, understanding and identifying gaps and opportunities within creative workflows and systems, while building strong relationships with current and new growth partners and investment partners . The contractor will work closely with internal and external stakeholders to ensure alignment and identify opportunities for process improvements, creative strategy, and software development.

In the first 30 days, you will be responsible for designing, building, and managing your own creative content workflow and creative production team . This involves identifying current inefficiencies, designing optimized processes, and guiding the team to execute on this vision. The role will be integral to WKND Digital’s transition towards software-based operations and AI‑enhanced workflows.

Where We Are Going

  • Transition to Software-Based Operations : WKND Digital is moving from traditional in‑house production to a technology‑driven, software‑focused model. This shift aims to streamline creative processes, enhance scalability, and reduce reliance on manual production. The contractor will contribute by optimizing workflows, integrating AI tools, and designing systems that enable scalable creative work without additional manual resources.
  • AI Integration : AI is central to the transformation of WKND Digital’s creative workflows. The contractor will work with AI tools, integrating them into processes such as creative production, editing, voiceover creation, and content generation to reduce bottlenecks and improve efficiency. The contractor will ensure AI is integrated into current workflows and contribute to new AI‑driven creative strategies.
  • Focus on Scalable Creative Models : The company is adopting data‑driven creative iterations to create scalable, repeatable content models. By analyzing successful elements from ads and campaigns, the contractor will help build creative models that can be adapted across clients and industries to improve performance and optimize resource allocation.
  • Leadership and Vision : The CEO, Tom Patterson, seeks a leader who can manage a team of creative editors while focusing on automation and process documentation. The contractor should lead the creative team and think strategically about automating tasks, streamlining workflows, and building systems that reduce manual processes, while aligning with long‑term software development goals.
  • Diversifying Content Creation : WKND Digital aims to create more diverse content across industries. The contractor will develop creative strategies beyond repetitive ad formats, enabling exploration and engagement across multiple verticals, focusing on high‑level creative work.
  • AI Tools for Creative Work : Tools such as 11 Labs for voiceovers, Runway for production and video editing, and Pika Art for stock footage manipulation are used. The contractor will implement and train the team on these tools to enhance output and optimize production, and contribute to developing new AI tools to automate and scale tasks.
  • Contract Work Proposal : Given the transition scale, Tom proposes starting with a contract position to assess fit and scope before transitioning to full‑time. The initial phase focuses on process and workflow documentation, AI integration, and creative strategy development.
  • Client Expectations and Agency Transition : WKND Digital is shifting from a traditional agency‑client relationship toward a mentorship approach. The contractor will help clients leverage software, data‑driven strategies, and AI tools to optimize campaigns.
  • Goal of Reducing Overhead : A key strategy is to reduce overhead by automating manual tasks and optimizing the creative process. The contractor will help build AI‑powered tools and systems to enable high productivity with fewer resources.
  • Vision for the Future : WKND Digital aims to develop a comprehensive software suite for digital marketing professionals, integrating AI‑driven tools for content creation, paid media, email / SMS marketing, CRO, and more. The contractor will contribute to building this foundation and ensuring integration with the creative workflow.

Key Objectives

  • Standard Operating Procedures (SOP) Development
  • SOP for the creative content team covering production, editing, and iterations.

  • Define the creative editor role, responsibilities, and deliverables to ensure clarity within the team.
  • Workflow Optimization & Design
  • Build and design creative workflows within Miro for production and editing processes, ensuring efficiency and alignment with business goals.

  • Design a creative organization structure in Miro to optimize roles, responsibilities, and communication.
  • Cross-Functional Workflow Design
  • Collaborate with Paid Media, Creative Design, Email / SMS, and CRO teams to design and implement workflows that connect departments and ensure smooth cross‑functional collaboration.

  • Focus on improving process efficiency and reducing bottlenecks across departments.
  • Daily Sync and Gap Identification
  • 1 hour per day with clients : Understand and identify gaps in current processes, strategies, briefs, etc., and develop optimized processes based on feedback.

  • 1 hour per day with current creative editors : Familiarize with current processes, identify gaps and inefficiencies, and provide improvement feedback.
  • 1 hour per day editing new iterations : Hands‑on editing for specific brands to test and refine iterations.
  • Daily Syncs
  • Daily sync with Lucas Ambrosio, CEO of HOARD : 15‑minute daily alignment on strategic goals and collaboration.

  • Daily sync with Tristan, Creative Operations Manager : 15‑minute daily alignment on operational goals and progress.
  • Enhanced Workflow Development
  • Design an enhanced creative workflow that integrates with other departments in Miro, working with Tristan and Lucas to ensure efficiency and alignment.

  • AI Integration for Creative Strategy
  • Learn and use the Eunoia DTC direct response copywriting system to enhance strategy, leveraging AI to streamline content creation and iterations.

  • Automate the creative strategy process with AI for scalability across campaigns.
  • Weekly Strategic Meetings
  • Participate in the weekly Black Ops meeting with the lead specialist to discuss advanced strategies and AI integration in the creative process.

    Deliverables

  • Creative Workflow SOP : A comprehensive document outlining the SOP for creative content production, including production, editing, and iterations, with guidelines for the creative editor role and responsibilities.
  • Miro Workflows and Organization Design : Fully designed workflows and documentation in Miro for creative production and cross‑department processes.
  • Gap Analysis and Recommendations : Daily documentation of gaps and actionable recommendations for process optimization.
  • Iterative Creative Work : Regularly edited creative content iterations showing improvements based on feedback and existing strategies.
  • AI‑Driven Creative Strategy : Automated processes and AI integration for creative strategy, including use of the Eunoia DTC system.
  • Time Allocation

  • 1 hour per day with clients (identify gaps in current process and strategies).
  • 1 hour per day with creative editors (identify inefficiencies and areas for improvement).
  • 1 hour per day editing new iterations for specific brands.
  • 15-minute daily sync with Lucas Ambrosio, CEO of HOARD.
  • 15-minute daily sync with Tristan, Creative Operations Manager.
  • Weekly : Black Ops meeting with lead specialist within the organization.
  • Weekly : Executive sync with Tom, Lucas, Tristan
  • Compensation

  • $45-$65 per hour (1099 Contractor)
  • Expected hours : 10-20 hours per week
  • Key Responsibilities

  • Identify and document process gaps.
  • Collaborate with cross‑functional teams to optimize workflows.
  • Leverage AI to streamline and automate creative strategies.
  • Continuously review, iterate, and optimize workflows for maximum efficiency and effectiveness.
  • Act as a research and thought‑partner, building strong relationships with growth and investment partners, and helping identify gaps and opportunities in creative strategies.
  • Design, build, and manage the creative content workflow and creative production team within the first 30 days of engagement.
  • Expected Outcome

    By the end of the engagement, the contractor will have established a clear, efficient creative workflow for the team, integrated AI tools for creative processes, and optimized cross‑departmental collaboration. The contractor will help guide the creative team toward a more streamlined, scalable, and data‑driven approach to content creation while building strong relationships with key partners and stakeholders.

    Terms

  • This position will begin as a contract with an evaluation period to assess fit and effectiveness.
  • The initial phase will be focused on process and workflow documentation, with ongoing development in AI integration and creative iterations.
