Policy Services Representative
The primary function of the Policy Services Representative is to ensure policy documents are issued correctly and within a given time frame. This role will provide administrative support to the Insurance Operations Team on an as-needed basis and will also include Front Desk responsibilities providing daily coverage for all breaks (including lunch) and covering for any vacation or time the Receptionist is away.
Responsibilities
- Review policies and policy-related documents for accuracy
- Prepare policy documents and forms for delivery
- Support the team by processing applications, helping with the offset process, or processing changes
- Open and distribute department mail
- Other administrative duties as assigned
- Greet visitors in a professional manner and manage the visitor log
- Answer and route incoming phone calls, field inquiries and relay messages to appropriate staff
- Ensure all processes adhere to relevant federal and state regulations and internal policies, including HIPAA compliance where applicable
- Actively support and comply with all components of the compliance program, including, but not limited to, completion of training and reporting of suspected violations of law and Company policy
- Maintain confidentiality of all information; abide by HIPAA and PHI guidelines at all times
- Reacts positively to change and performs other duties as assigned.
Qualifications
High School Diploma, Associate's degree or related experience in insurance administration or a similar fieldProficiency with Microsoft Office SuiteExcellent interpersonal, oral, and written communication skills.Must be detail oriented and self-motivated.Excellent customer service skills.Anticipate needs in a proactive manner to increase satisfaction.Take ownership of job responsibilities by initiating prompt and appropriate follow up and / or action to problems.
