POSITION OVERVIEW : We are seeking a highly organized and creative Event Coordinator to support the planning, execution, and follow-up of branded events and client touchpoints. This on-site role is part of our Brand Management Team, and the ideal candidate will help to ensure a consistent brand experience across marketing, events, and client gifting strategies.
DUTIES AND RESPONSIBILITIES :
- Support the planning, coordination, and production of all events including venue selection, catering, décor, signage, audiovisual requirements, and day-of execution.
- Work collaboratively with teams to produce event-related collateral and marketing, adhering to brand standards.
- Create and maintain guest registration processes, from sending invitations to following up after events.
- Assist in the planning and execution of virtual events and video interviews, coordinating logistics, scheduling, and technical setup to ensure smooth production and high-quality marketing content.
- Diligently upkeep event documentation, timelines, and checklists, securing approvals and reporting on progress.
- Assist with the design and standardization of materials for client meeting setup.
- Support client gifting initiatives by tracking requests, communicating status to team members, managing inventory, giftwrapping, and ensuring timely deliveries.
- Execute donation-based gifts including the coordination of the annual holiday gift program.
- Work with vendors to source unique and brand-aligned items.
- Provide administrative support to the team with tasks such as maintaining inventory of event supplies and branded materials, proofreading marketing content, and ensuring documents are accurate, clear, and consistent.
- Represent the brand with a polished and professional demeanor in all communications, interactions, and event settings, ensuring consistency with company values and tone.
- Other duties as assigned by management
MINIMUM POSITION REQUIREMENTS :
3+ years of experience preferred in an event coordination and / or hospitality role.Bachelor's degree in a related field.Highly organized with strong attention to detail.Familiarity with design marketing tools like Canva or Adobe Creative Suite.Deep understanding of event management and marketing principles.Ability to maintain extreme confidentiality in dealing with client mattersMust consent to and have favorable consumer report, background checkOTHER ESSENTIAL CANDIDATE TRAITS
