The Opportunity

We are seeking a Substation Administrative Coordinator who is responsible for supporting the Substation Services project team with organization and administrative duties for projects including Substation document control and delivery; purchase order preparation and expediting; subcontract preparation and expediting; and material inventorying and updating.

Key Responsibilities

• Procurement & Resource Management - Assist with the material procurement process, ensuring POs, phase codes, and job numbers are utilized on all orders; assist with the equipment and tool procurement and management process on projects; and assist project team with large package review, releases, and management.
• Documentation & Reporting - Draft, submit, and distribute project-specific or customer reports, submittals, Requests for Information (RFIs), and subcontracts after review and approval by the project manager; and assist the project management group with payroll reports and data entry.
• Permitting & Compliance - Assist project team with applicable permits(customer, city, utility) and review daily Pre-Job Briefings for completeness and submit.
• Document Control & Systems Management - Interface with and organize project-specific document control systems (Procore, Viewpoint, SharePoint); Print drawings, build job packages, and deliver to field.
