PURPOSE AND SCOPE :  The Legal Assistant supports attorney(s) with various tasks, including compiling documents; communicating with clients and court employees; supporting attorneys with preparing for hearings, trials, and meetings; and organizing and maintaining files. The Legal Assistant must be flexible to adjust to competing priorities as they arise.

WORK LOCATION AND CONDITIONS :   This position is in-person and will be located at the Redwood City, CA office. Regular work hours are from Monday through Friday from 8 : 30am to 5 pm.

CLASSIFICATION :   The Legal Assistant is a full-time non-exempt employee of ARCR, is employed at-will, and reports directly to an assigned supervisor. As a non-exempt employee, the Legal Assistant must receive pre-approval in writing to work more than 40 hours in any given week and 8 hours in any given day.  As an employee of ARCR, the Legal Assistant is subject to the policies and procedures outlined in the Employee Handbook.

Responsibilities & Duties

  • Administrative and Legal Support
  • Assist up to five (5) attorneys as directed
  • Liaise with other Legal Assistants to support each team member with completing their  workload to meet day-to-day administrative demands
  • Handle cold calls and other referrals and conduct conflicts check
  • For each new client : open new client file, prepare fee agreement, if needed, prepare joint representation letter
  • Correspond with clients, court staff, and counsel
  • Schedule in person or Zoom appointments
  • Maintain attorney calendars and ensure files are ready for hearings or meetings
  • Prepare Judicial Council forms as needed
  • Format and modify briefs, pleadings, and other legal documents
  • File, serve, and process legal documents with the Court and parties, including calendaring hearings when necessary
  • Scan, copy, save, and organize documents as needed consistent with the Firm’s naming conventions
  • Compile filings and mailings as directed to meet deadlines and ensure compliance with court rules, make required copies and use postage meter to ensure correct postage is applied.
  • Organize case files and iManage folders
  • If a notary, notarize documents as needed
  • General Duties

  • Exceptional time management and prioritization skills
  • Be comfortable navigating responsibilities with limited direction among multiple stakeholders
  • Proficient computer application skills including Outlook, Word, Excel, PowerPoint, and additional software applications as needed
  • Required Education & Experience

  • High School Diploma or General Education Degree (GED) required
  • One (1) to five (5) years of experience as an administrative assistant (preferably in a law firm or in a corporate legal department), legal assistant, or legal secretary
