We are looking for an organized and proactive Executive Assistant to support the CEO in Chalmette, Louisiana. This role requires exceptional attention to detail and the ability to manage multiple priorities in a fast-paced environment. The ideal candidate will excel in administrative tasks, calendar management, and coordinating events, ensuring the CEO's schedule runs smoothly and efficiently.
Responsibilities :
- Schedule and register the organization for conferences and events, including purchasing tickets and arranging travel plans.
- Maintain and update the CEO’s calendar, adding events and appointments with reminders for report preparation, talking points, and presentations.
- Assist with preparing expense reports, coordinating travel arrangements, and handling other administrative tasks.
- Oversee office maintenance and shared workspaces, ensuring supplies are ordered and operations run seamlessly.
- Resolve day-to-day technical issues and ensure smooth office operations.
- Organize and categorize office files in OneDrive, maintaining proper naming conventions and keeping documents updated.
- Provide support during executive meetings, including preparation of materials and taking minutes.
- Manage corporate social media accounts and assist with CRM marketing tasks.
- Deliver excellent customer service and uphold clear and effective communication standards.
- Coordinate and prepare for meetings, ensuring all necessary resources are available.

At least 1 year of experience in administrative or executive support roles.Proficiency in calendar management and scheduling tools.Strong skills in office administration, including supply management and workspace coordination.Experience with travel arrangements and expense reporting.Familiarity with Microsoft Office Suite and CRM tools.Ability to manage corporate social media platforms effectively.Excellent communication skills and attention to detail.Capable of handling multiple priorities in a dynamic work environment.
