Your Core Focus : Essential Responsibilities : As the Mortgage Executive Assistant , you will provide administrative support for all activities of the Director of National Sales. Your key responsibilities will include :
- Executive Communications Management : review and evaluate incoming communication to the Director of National Sales. Assist in drafting executive communications as needed.
- Data Analysis and Executive Reporting : Apply your intermediate-level Excel skills to analyze large amounts of mortgage-specific data. You will transform raw information into polished, comprehensive reports and documentation using the MS Office Suite, summarizing key findings to inform strategic decisions.
- Strategic Foresight : Utilize your mortgage sales or operations experience to proactively anticipate potential problems, identify critical issues, and flag growth opportunities. You must exercise sound judgment and discretion to handle confidential information and complex situations independently.
- Logistics and Calendar Command : Manage and coordinate an extremely complex executive calendar. You will arrange all aspects of domestic and occasional international travel, including air, hotel, and ground logistics.
- Sales Meetings and Event Management : facilitate the meeting process : scheduling, securing locations, coordinating catering, attending, and preparing accurate and timely meeting minutes. You will also serve as a key coordinator for annual corporate events, requiring occasional travel.
- Sales Department Liaison : interact with the Sales Division and all other departments within TowneBank Mortgage. Supporting 26 Sales Managers across our national footprint, you will ensure seamless communication, collaboration, and execution of cross-functional initiatives. Maintaining the Sales SharePoint site.
- Financial Administration : Accurately handle the monthly reconciliation of corporate credit cards and detailed expense reports with meticulous precision. Coordinating with Human Resources and Accounting on sales employee compensation schedules and offer packets.
- Regulatory Adherence : Obey all applicable federal laws, rules, and regulations relating to Anti-Money Laundering (AML), including the Bank Secrecy Act (BSA).

Proven experience using Microsoft Office Suite in a professional work environment.Functional intermediate-level Excel skills (data analysis, complex formulas).Impeccable organization and prioritization skills , with the ability to multitask and manage multiple competing demands effectively.Strong verbal and written communication skills coupled with a professional telephone presence .The ability to exercise absolute discretion and sound judgment when dealing with sensitive and confidential information.A self-motivated attitude with the ability to work independently while functioning as a flexible, collaborative team member.Desired Skills and Competencies (The Competitive Edge)
A minimum of two years of Administrative or Executive Assistant experience , ideally supporting a senior-level executive.Demonstrated ability to resolve conflicts with creativity and professional authority .The proven ability to control situations or events in the absence of a higher authority .Confidence in making recommendations or decisions that affect office operations and activities .Demonstrated experience managing an executive's complex calendar for maximum efficiency.Physically you can anticipate to :
