Sales Admin & E-Commerce Specialist
Key Responsibilities
Sales & E-Commerce Strategy
Build and maintain weekly, monthly, and seasonal sales forecasts by product, collection, and region.
Develop and execute data-driven sales strategies to achieve revenue goals across e-commerce, wholesale, and marketing channels.
Oversee Shopify performance analytics, identifying growth opportunities to increase conversion rate, AOV, and customer retention.
Manage Shopifys backend operations with precision including product setup, collections, pricing, inventory updates, merchandising, and reporting.
Ensure the website layout and product positioning consistently highlight best-sellers, high-inventory styles, and seasonal priorities.
Implement and test new strategies to drive sales, including bundles, BOGO offers, sample sales, gift-with-purchase, and social-media-based campaigns.
Prepare comprehensive sales and performance reports for leadership with actionable insights, trends, and projections.
Support brand leadership in strategic financial decisions tied to campaigns, launches, and inventory optimization.
Maintain strong alignment with luxury brand presentation standards ensuring all e-commerce visuals, copy, and merchandising reflect elevated aesthetics consistent with high-end fashion and lifestyle markets.
Wholesale Sales & Business Development
Actively prospect and procure new wholesale accounts through outreach, cold emailing, and relationship building.
Develop systems and processes to manage wholesale inquiries, order tracking, and follow-up communication.
Create and maintain wholesale client databases, ensuring leads and opportunities are organized for continuous pipeline growth.
Assist with wholesale projections, targets, and reporting to ensure alignment with overall company revenue goals.
Collaborate with leadership to identify key wholesale goals and strategies to offset DTC sales fluctuations.
Support the foundation and structure of the companys wholesale department including documentation, line sheets, and client onboarding workflows.
Possesses experience working with luxury retailers, boutiques, and high-end buyers ensuring all communication, presentations, and client interactions reflect a refined and professional luxury standard.
Administrative & Operational Oversight
Maintain complete accuracy across financial records, invoices, budgets, and compliance documentation.
Implement organized systems for reporting, expenses, and communication between sales, operations, and marketing.
Coordinate with logistics and customer service to ensure returns, exchanges, and financial records align with projections.
Manage vendor payments, expense reporting, and monthly reconciliation.
Develop and enforce SOPs for sales, administrative, and financial workflows to maintain efficiency and scalability.
Ensure all administrative practices uphold the brands luxury image through organization, accuracy, and consistent high-level execution.
Cross-Department Collaboration
Partner with the Brand Manager (COO) and CEO to align all departments toward weekly and monthly revenue goals.
Collaborate with marketing to align ad spend, influencer budgets, and promotional campaigns with sales ROI.
Coordinate with warehouse and fulfillment to ensure inventory flow matches sales forecasts and launch timelines.
Lead weekly performance meetings to share insights, track progress, and recommend optimization strategies.
Act as the central reporting hub between departments, providing leadership with clear, data-backed updates.
Collaborate closely with creative and marketing teams to maintain luxury consistency across all visuals, campaigns, and brand communications.
Qualifications
35+ years of experience in e-commerce, sales operations, or admin roles within fashion, beauty, or luxury industries.
Proven experience with luxury-focused brands understanding the importance of presentation, product positioning, and client experience.
Extremely experienced in Shopify both frontend and backend management, analytics, merchandising, and automation.
Proven success in sales strategy, forecasting, and outreach (including cold email and lead generation).
Familiarity with wholesale procurement, account management, and B2B outreach systems.
Strong knowledge of key sales metrics (conversion rate, AOV, ROI, CAC).
Skilled in Excel / Google Sheets, Shopify Analytics, GA4, QuickBooks, or Xero.
Excellent communication, organization, and leadership skills.
