Job description

Program Manager Support

This position will support the Program Manager for US & UK Strategic Weapons System Fleet Support. The position requires communication with all levels of management, numerous customers, suppliers and sites. Overtime is required as necessary to support the business or program needs.

The successful candidate will support the Program Manager and wider Program Office team. Responsibilities may include, but are not limited to :

  • Word processing / EB correspondence
  • Develop and maintain letter / transmittal templates
  • Develop and maintain spreadsheets
  • Maintain department records
  • Manage inventory control and ordering of office supplies
  • Process visit requests for department employees
  • Maintain department organization charts
  • Travel reservations and preparation of expense reports
  • Coordinate facility moves
  • IT service requests
  • Employee severance and retirement preparation

Qualifications

Required :

  • High School Diploma
  • Candidate must demonstrate error-free word processing capabilities (45 wpm minimum)
  • 5+ years of professional administrative experience in a office setting
  • Preferred :

  • Experience working in international programs
  • Experience with CITIS and / or SWSNET
  • A strong background and experience dealing with technical and administrative departments such as Engineering, Contracts, and Finance
  • Skills

    Skills :

  • Proficient MS Office skills
  • Well-developed interpersonal skills, communication skills
  • Motivated self-starter
  • Strong verbal, written and organizational skills as well as the demonstrated ability to effectively interact with and integrate a wide range of personnel
  • Must be confident in communicating and working with upper management as well as customer and foreign participants
  • Must be reliable, possess a strong team orientation, be customer focused, and have a desire to work in a dynamic, fast-paced environment
  • Must be able to coordinate internal and external customer meetings including invites, reservation of proper conference room, set up, supportive documents, graphic requirements, operating presentation equipment with efficiency
  • Ability to maintain a professional demeanor under stressful situations
  • A desire to learn and grow in the position
