The Sales and Events Coordinator works closely with the Director of Sales and Events, Sales Managers and Event Service Managers to plan and prepare for meetings and tournaments hosted within the venue. Primary focus is to ensure events progress seamlessly by following established procedures, collaborating with other team members and ensuring accuracy for event execution. Position may include some travel to assist with promotional opportunities. Presents a high standard of integrity, service and hospitality at all times to promote the Warehouse Hotel and Spook Nook Sports culture to customers and co-workers.

Essential Job Functions
Coordinate and communicate internal and external event details both verbally and in writing to client and internal operations teamsArrange food and beverage needs for events, order supplies, plan for audio visual equipment needs, order event signage and ensure proper décor to meet quality expectations of clientsCreate room diagrams for events and order linensMaintain event change log, forecast schedule, event order distribution and other operational reportsWork with Marketing Team to create effective collateral and promotional campaigns as needed for the sales managersCoordinate hotel rooming list follow-up including email communication, phone follow-up, and scheduling client meetings as neededEnter rooming lists into hotel system, update changes and send invoices accordinglyProspect leads for the sales team in the corporate, association, SMERF and LNR marketsBe knowledgeable of the facility and conduct site tours as neededAssist with coordination of onsite event production and event operations as neededWork with outside vendors to ensure client needs are metFinalize event billing procedures with a keen attention to detailAnswer telephone calls and emails politely and professionallyCommunicate with guests in a friendly and positive mannerMeet and exceed client needs; troubleshoot and resolve complaintsFlexible to rotate a Mon-Fri schedule, and a Tues-Sat schedule (on event weekends)All other duties as assignedRequirements :
Minimum 1 year of experience working within hospitality or related industryAbility to read, speak, and understand the English languageHighly motivated, customer-focused, values-driven, and mission-centeredLanguage skills : Excellent verbal and written communication skills. Fluent knowledge of the English language; including the ability to read and interpret written information and speak and understand verbal communicationAbility to fulfill the physical requirements of the position with any reasonable accommodations as necessaryAvailability to work a flexible schedule that may include evenings and / or weekendsMust be 18 years of age or olderDependable transportation to and from workAuthorized to work in the United StatesPreferred Qualifications
Strong knowledge of event planning / detailing, business etiquette and practicesPrevious experience working in hospitalityPrevious experience working with BEO’s and contractsHighly proficient with data entry and computer skillsOutstanding demonstration in meeting strict deadlinesHighly dependable with a history of consistent attendance and punctualityGuest-focused / service-oriented; ability to see big picture and impact on company. Work environment : Upbeat, high-energy sports and event complex with heavy foot traffic and frequent large crowds. This position will primarily work in an office environment.Physical requirements : While performing the duties of this job, the team member will be regularly required to perform physical activity that includes moving about the work area, talking, hearing, standing, and sitting for long periods of time while working on a computer. He or she will frequently be required to bend, reach, lift, push and pull. The team member will be occasionally required to stoop, kneel, or crouch. He or she is required to have the visual acuity to determine the accuracy, neatness, and thoroughness of the work assigned.Lifting requirements : The team member will be required to lift, push, pull, lower and / or move up to 25 lbs. regularly.Noise Level : The noise level in this environment is typically quiet.Work schedule : The work schedule may fluctuate to include evenings, weekends, and holidays.
