About the Role :
We are actively in search of a seasoned Service Coordinator adept at steering projects to successful fruition, from inception to completion to join our corporate team based out of our Lititz, PA campus. This position reports to the General Manager of Commercial Installation Operations.
What You Will Do :
- Answer inbound calls and work with commercial contract accounts to schedule both demand calls and recommended work.
- Create work orders for regular and demand service calls as received.
- Gather and confirm customer emails for future communication and marketing purposes.
- Maintain accurate customer history and contact information.
- Handle customer complaints in a professional and timely manner.
- Assist customers with billing questions and concerns.
- Assist Accounting Department with light collections.
- Confirm sales lead information for replacement and maintenance leads are entered into the system accurately and timely for Account Manager review.
- Process and complete work orders for daily billing and record daily, weekly, and monthly revenue.
- Batch and export all service invoices on a weekly basis with a special exception for end of month close.
- Maintain accurate reporting and follow up for monthly unbilled work orders.
- Work with Commercial Service Manager to monitor profitability of service technician work orders.
- Review with Commercial Service Manager all work orders with a closing margin of under 45%.
- Follow up with all open, pending, recommended and quoted work.
- Close opportunities and create new work orders for customer approved work.
- Communicate and work with Commercial Service Estimator for high priority approved work.
- Maintain accurate reporting for closed / won service repairs.
- Assist as backup to PM Coordinator in entering and maintaining the maintenance agreement follow up, renewal contract review, set up and monthly billing.
- Other duties as assigned.

H.S Diploma or GED3+ years' experience in a similar role providing service coordination to a team dedicated to customer service. Experience with Commercial based mechanical / electrical / HVAC contracted services is a definite plus.An associate degree in business administration, management, or a related field is also preferred.Reliable means of transportation is required.The ability to organize efficiently is crucial, this includes the ability to prioritize tasks, manage time efficiently, and maintain orderly workflows.Excellent verbal and written communication skills.Proficiency in office software such as Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).The capability to identify issues, analyze problems, and develop effective solutions.Understanding inquiries and the needs of our Residential customers, ensuring timely responses to inquiries, and resolving concerns promptly.Work Hours
7 : 00am - 4 : 00pm, Monday through FridaySome overtime is required during high call volume periods.$21.00 - $24.00 per hour, this is the anticipated range for this role, those with skills above and beyond the requirements may have a higher salary opportunity. This is a non-exempt position.
