Administrative Support Specialist (Temporary Assignment)
Full-Time | Onsite | ~16-Week Assignment
We are seeking a detail-oriented and proactive Administrative Support Specialist to provide temporary support for a high-volume office environment. This role ensures smooth daily operations, assists with special projects, and provides administrative, records, and customer support.
The ideal candidate is organized, professional, and comfortable working with confidential information and multiple stakeholders in a fast-paced setting.
Schedule
- Monday Friday, 40 hours per week
- Approx. 16-week assignment (subject to change based on business needs)
Key Responsibilities
Administrative & Customer Support
Greet and assist visitors and internal staff in a professional, welcoming mannerAnswer phone calls and emails, route inquiries, and provide timely responsesPrepare and format letters, reports, and business documents using established templatesManage office supplies, incoming / outgoing mail, and general administrative tasksCoordinate logistics for meetings and events, including scheduling, ticket purchasing, and catering / meal arrangementsFinancial & Purchasing Support
Assist with processing vendor invoices and preparing purchase ordersSupport purchase card expense reconciliation and collect required receipts / documentationRecords & Program Support
Support document filing, retention, and data entry in internal record-management systemsProcess official documents and maintain accurate digital and physical filesAssist with scheduled document destruction following compliance guidelinesProvide administrative support for special programs and events, including tracking, documentation, and post-event tasksAdditional Responsibilities
Assist with ad-hoc administrative tasks to support office efficiency and workflowMaintain confidentiality and provide excellent customer service at all levelsQualifications
High school diploma or GED required2+ years administrative or clerical experience in a professional office settingExperience with document management and data entryFamiliarity with invoice processing, purchase orders, or expense reconciliation preferredProficiency in Microsoft Office (Word, Excel, Outlook); ability to learn new systems quicklyStrong written and verbal communication skillsAbility to manage multiple priorities and deadlinesCompensation & Benefits :
