Job description

Public Disclosure Specialist

This position is part of the agency's Public Records Unit. As a Public Disclosure Specialist, you'll manage public records request from start to finish, interpret disclosure rules, ensure accurate recordkeeping, and provide timely, professional service to staff and the public.

Some of what you will do :

  • Monitor and track agency public records requests and ensure adherence to delivery deadlines.
  • Monitor and track the status of public records requests for compliance with statutes, policies, and procedures.
  • Independently execute searches for agency records for production.
  • Conduct Office M365 eDiscovery searches to facilitate the production of eDiscovery records in response to public records, information, agency litigation, subpoena requests, and any other records requests as assigned.
  • Conduct analysis of new records requests and communicate with the requestor to clarify their request or narrow the scope of the request and determine initial response timelines.
  • Contact agency records custodians and DFI staff to coordinate the collection of documents relevant to agency records requests.
  • Review responsive agency documents for applicable redactions and / or exemptions.
  • Conduct secondary reviews of records prior to the release of records.
  • Prepare official correspondence to requesters and other agencies as needed.
  • Monitor and maintain agency electronic records request database to ensure agency records requests are in compliance with applicable Public Records Act laws.

Desired qualifications and skills : Five (5) years of experience performing the following :

  • Electronic searches for records
  • Forms and records management or public records disclosure
  • Conducting research and analyzing policies, laws, rules, or regulations regarding records management principles
  • Clerical duties such as preparing, proofing, and editing correspondence or training materials
  • Customer service that includes resolving problems or responding to inquiries involving confidential or protected information.

  • Interview process : Once the recruitment closes, candidates selected to continue in the process will participate in two rounds of in person interviews at the DFI headquarters office in Tumwater.
