Job description

Job Overview :

Search Solution Group is seeking a Contract Collections Specialist on behalf of our client, a supplier of electrical products and services, including residential lighting systems. The Contract Collections Specialist is responsible for managing customer receivables, resolving payment issues, and maintaining strong communication with customers and internal teams. This role is essential in ensuring timely collections, maintaining accurate account records, and supporting the organization's financial health through effective analysis, negotiation, and issue resolution.

Key Responsibilities :

  • Monitor a portfolio of accounts to assess receivables status and prioritize workload based on objectives.
  • Perform detailed account analysis to identify trends, recurring issues, and root causes; propose and implement effective solutions.
  • Create and execute weekly work plans that include customer calls, email communication, and follow-up activities; maintain thorough account notes and provide updates to leadership.
  • Collaborate with cross-functional teams such as customer service and sales to gather information and resolve account issues.
  • Negotiate within assigned authority to achieve favorable outcomes for the organization and the customer.
  • Complete account reconciliations, manage daily credit hold and release processes, and handle monthly statements or dunning letters.
  • Recommend accounts for bad debt write-offs and assess the need for credit limit reviews.
  • Respond to customer inquiries concerning billing discrepancies or payment disputes.
  • Manage account maintenance activities including resolving short-pays, chargebacks, credit memos, and payment application issues.
  • Assist other collections team members with tasks such as research, invoice reprints, and data gathering.

Requirements Include : Education :

  • High school diploma required; an associate or bachelor's degree in Business, Finance, Accounting, or a related field preferred.
  • Experience :

  • Previous collections, accounts receivable, or customer account management experience preferred.
  • Experience working in a fast-paced, cross-functional environment is beneficial.
  • Skills :

  • Strong verbal and written communication skills.
  • Excellent organization, note-taking, and follow-up abilities.
  • Ability to de-escalate stressful situations and manage challenging conversations.
  • Analytical skills to identify account trends and root causes.
  • Proficiency with Microsoft Office Suite, especially Excel, and familiarity with ERP or accounting systems.
  • Certifications :

  • No certifications required; any relevant collections or financial certifications are a plus.
  • Knowledge :

  • Understanding of collections processes, accounts receivable principles, and customer account management.
  • Knowledge of billing practices, dispute resolution processes, and credit principles is helpful.
  • Key Competencies :

  • Strong interpersonal and relationship-building skills.
  • Conflict resolution and negotiation skills.
  • High attention to detail and accuracy.
  • Time management and the ability to prioritize effectively.
  • Problem-solving mindset with the ability to think creatively.
  • Team-oriented with the ability to work independently when needed.
