Project Coordinator II

Join our team as a Project Coordinator II! The Project Coordinator II is a non-management position which is responsible for a range of professional, technical duties and advanced clerical work with diverse knowledge of different government personnel and supporting agencies. Supports building code and special enforcement functions and prepares and processes various forms, requests, and meeting agendas associated with the Pasco County Construction Board. Responsible for managing customer inquiries and resolving issues. The ideal candidate will possess exceptional communication and organization skills. Must be very detailed and can schedule and coordinating task from various sources of information.

Prepares, compiles, copies, and distributes the agenda along with supporting documentation and / or presentations as necessary. Schedules the Pasco County Construction Board meetings and case review meetings as required. Ensures that all legal notice requirements are met for Pasco County Construction Board meetings. Prepares, evaluates findings and facts, presents oral and written reports in an accurate and concise manner to courts, commissions, boards, state and local law enforcement agencies as needed with extreme accuracy. Attends legal meetings to testify and administers the oath and attest the Pasco County Construction Board chair's signature. Prepares forms independently and composes letters for Building Office or Deputy Building Official. Responds to routine inquiries (daily) from citizens by telephone / email or in person regarding inquiries about building code violations. Maintains accurate documentation and case files on all investigations, inspections, and other job-related activities. Ability to ensure compliance with procedures for systematic retention. Receives payments of fines, liens and or other division revenue and prepare required deposit forms. Handles special investigations, or assignments, as requested by the Supervisor. Ability to lift and / or move up to 30 pounds of heavy objects. Performs related work as required.

Knowledge of standard office practices, procedures, polices, computers, operating systems, and other related software. Ability to schedule and organize meetings / hearings with staff, County Attorneys, the Pasco County Construction Board, and County Board Meeting room. Ability to keep an up-to-date member Pasco County Construction Board list to include applications, resignations, term expiration dates, and State of Florida Commission Ethics Form expirations. Performs the duties of Permit Coordinator, as needed to provide accurate information about permit statuses and procedures. Knowledge of principles, functions, customer service, and government including county building ordinances and policies, state statues, field investigation, and contractor licensing. Ability to review / create and process a wide variety of official records, agendas, board minutes and / or legal documents with extreme detail for accuracy (Notice of Hearing, Administrative Complaint, Appearance Waiver, Extension request letter, Reduction in fines request, Satisfaction of Order). Ability to document, collect evidence, and present findings to Pasco County Clerk's Office, the Pasco County Construction Board or the (DBPR) Department of Business Regulation. Ability to use the internet to extract information from the Property Appraisers Office, Pasco County Clerk's Office, Sunbiz, The Department of Business and Professional Regulation, and Pasco Mapper. Knowledge of advertising and publicly posting for Board hearings or county departments. Knowledge of the U.S. postal system and certified mailing with return receipt. Knowledge of cash handling, applying payments, and end of day reconciling. Ability to work with stringent deadlines to present facts and findings from research and observation to the complainants, violators, and public agencies through clear and concise verbal, written, or visual communication. Ability to tolerate exposure to evidence and testimony, such as photograph of properties in various stages of structural decline or repair. Ability to exercise good judgement with safeguarding sensitive and confidential information. Ability to ensure compliance with procedures for systematic retention, protection, retrieval, transfer, and disposal of records based on statutory requirements. Ability to exercise sensitivity of diverse cultures and individuals to include diplomacy, impartiality, and sound judgment. Ability to work independently under pressure with specific timelines. Knowledge of business English, proper grammar, and punctuation. Ability to use a laptop, tablet, desktop computer, printer, scanner, barcode scanner, smartphone, and related software. Ability to establish and maintain effective working relationships with staff, supervisors, other agencies, and the public.

Physical skills / working conditions : Ability to communicate effectively using verbal, written and visual communication. Ability to sit for extended periods of time, while concentrating on repetitious or complex task. Ability to adjust work schedule and locations. Ability to lift and / or move up to 30 pounds of heavy objects. Requires stooping, bending, standing and or extending arms and hands in any directions. Ability to operate, enter, and exit county vehicle frequently. Education, training and experience : Graduation from an accredited college or university with an Associate degree in Business or a related field and two (2) years' relevant experience OR possession of a high school diploma or an acceptable equivalency diploma and four (4) years' experience. Three (3) years of customer service experience involving frequent public contact required. Board experience preferred. Licenses, certifications or registrations : Must possess a valid Florida driver's license. Must obtain a Notary Public commission within six (6) months of employment. Drug-free workplace : Pasco County BOCC is a drug-free workplace in accordance with Federal and Florida Law. Emergency response / recovery activities : All employees will be required to work before, during, or after an emergency. During an emergency, employees may temporarily be assigned to work and perform duties outside the normal scope of their position, location and work schedule to fit the needs of the County and its citizens. Veterans' preference : Under Section 295.07, F.S., chapter SSA-7 Pasco County BCC provides to Veterans, that preference in appointment will be given to preference-eligible applicants.

Benefits include : Florida Retirement System (FRS) retirement plan, PTO (Paid Time Off), Paid holidays, Group insurance, Tuition reimbursement, Deferred compensation, Medical leave pool, Annual medical leave buy-back, Mid-management / Professional grade, and management personnel may receive 40 hours of admin leave per calendar year.

Effective July 1, 2011, FRS members must contribute 3% of their salary as retirement contributions, on a pre-tax basis (the salary is reduced by the amount of the employee contribution before determining the federal income tax deduction). The employer will automatically deduct the employee contributions.
