Position Overview
A private family in Greenwich Village, NY seeks to hire a highly professional, poised, and detail-oriented Executive Personal Assistant to provide seamless support to multiple members of the family. The role requires exceptional organizational skills, discretion, and adaptability in managing a range of personal and household tasks. The ideal candidate will be proactive, resourceful, and committed to ensuring smooth daily operations, handling responsibilities with precision and complete confidentiality.
Only candidates with direct Personal Assistant experience will be considered for this role. Candidates must be based in New York City.
Responsibilities
- Oversee the daily operations of multiple private residences for the family, ensuring all properties run smoothly and efficiently.
- Liaise with household staff, the family office, vendors, and service providers to ensure seamless communication, workflow, and operations across residences.
- Maintain household and family office inventories, managing the procurement of supplies and high-end items as needed.
- Coordinate complex, dynamic schedules for multiple family members, including appointments, meetings, school activities, and social engagements.
- Arrange comprehensive domestic and international travel for the family, including flights, accommodations, ground transportation, and detailed itineraries.
- Oversee the preparation of all travel documents, including passports, visas, and logistical coordination with the family office.
- Plan and execute private family gatherings, dinner parties, celebrations, and special occasions across residences.
- Manage event logistics, coordinating closely with chefs, caterers, florists, entertainers, and outside vendors to ensure flawless execution.
- Handle personalized gifting, luxury procurement, and special requests for multiple family members in coordination with the family office.
Requirements
3-5 years in a similar role within a private family office or corporate setting.Bachelor’s degree preferred.Strong organizational, multitasking, and problem-solving abilities.Excellent written and verbal communication skills.Proficiency in Microsoft Office Suite and project management tools.Highly professional, polished, and poised.Exceptional discretion and confidentiality.Ability to work independently and anticipate needs.Strong attention to detail and ability to work under pressure.Valid U.S. work authorization required.Valid Driver’s License preferredSSIN456
