The IPDAS Solutions Analyst is responsible for supporting the firm's IP Document Assembly System (IPDAS) including general education, system releases, template updates, and more. This position is also responsible for supporting other practice areas directed to the firm's eWorkflow system and its customer number practice.
ESSENTIAL FUNCTIONS :
- Coordinates new version releases of the IPDAS software in collaboration with the firm's Information Technology (IT) and Application Development teams.
- Triages inquiries and enhancement requests for IPDAS and as necessary, collaborates with the IT team to implement solutions.
- Creates new and modifies existing IPDAS templates, and provides guidance as needed.
- Prepares, maintains, and distributes educational materials for IPDAS, including periodic tips and notices for effective use of these firm systems.
- Develops and delivers learning opportunities to support existing and new technologies.
- Conducts an overview of IPDAS, including as necessary, eWorkflow, and Virtual File for new and existing employees.
- Collaborates with other firm departments concerning system and procedural projects to support compliance of existing firm policies and procedures across groups.
- Assists with ongoing development of various workflow tools and practices and helps identify areas which can be made more efficient through automation and process improvement.
- Provides coverage as necessary of ongoing maintenance of the firm's customer number practice including attending to requests for new joint customer numbers and updates to associations / disassociations of firm / client practitioners to the firm's general and joint customer numbers, including the transfer of joint customers to new counsel as appropriate.
- Provides coverage to assist new patent agents and registered practitioners with MyUSPTO.gov account and ID.me account maintenance, including providing additional guidance on email account updates as applicable.
- Assists with various projects that align with the goals of IP Services department and the firm.
- Assesses practices to ensure firm needs are met, and as necessary, coordinates with firm management to address concerns and to implement practice improvements.
- Monitors IPDAS usage and as requested provides metrics for management review.
- May participate on firm committees and / or act as product owner for proprietary software.
QUALIFICATIONS :
Bachelor's degree or equivalent work experience required in the field of Intellectual property or equivalent combination of education and work experience.5 or more years of direct experience overseeing IPDAS administrative functions such as managing version releases, configuration and template creation / updates10 or more years of direct IP experience.Comprehensive understanding of Federal Rules and U.S. Patent and Trademark Office Rules.Proficiency with docket software (CPi preferred) with a strong knowledge of Microsoft products and video conferencing tools.Conscientious with a strong attention to detail.Strong problem-solving, analytical, technical, organizational skills, and the ability to work effectively in a high-pressure environment.Exercises good judgment and discretion in all matters. Ability to maintain confidentiality of matters and other firm business information.Punctual and reliable and able to meet deadlines and work effectively under pressure. Flexible adapting to changing needs, priorities, process and organizational changes.Demonstrated ability to lead and motivate people.Exceptional oral and written communication skills and ability to effectively communicate through presentations and training.Ability to adhere to established work schedule and exercise flexibility to work additional time when required to respond to workload demands.Location (Hybrid) : Boston, MA; New York, NY; Washington DC or Remote in select states.
