Job Summary
The Patient Registration Professional (PRP) Manager oversees the front office and call center operations for medical, dental, and behavioral health services. This role supervises all PRP and Call Center staff, ensures excellent customer service, supports clinic workflows, and helps maintain efficient, accurate patient access processes.
Essential Job Functions
Oversee daily front office operations, including patient registration, insurance verification, phone coverage, and EMR workflows.
Manage front office and call center staffing, schedules, and workflow efficiency.
Ensure reception areas operate smoothly and provide a positive experience for patients and visitors.
Train, coach, and support PRP staff; coordinate onboarding and ensure competency completion.
Maintain office supply inventory and request orders as needed.
Collaborate with the Director of Patient Access on policies, procedures, and quality metrics.
Attend required meetings and complete required trainings.
Administrative & EMR Responsibilities
Monitor PRP In-Baskets and ensure daily completion.
Open / close provider schedules in EMR.
Assist with patient scheduling, registration tasks, and daily charge posting.
Maintain 97% accuracy for demographic and insurance updates.
Accept payments, explain financial policies, and assist patients with forms and questions.
Oversee basic maintenance / repair of dental equipment and coordinate with service vendors.
Train dental staff on equipment processes and serve as backup for ordering dental supplies.
Assist the dental team with difficult patient interactions when needed.
Qualifications
Education
Associate’s Degree preferred (experience may substitute).
Experience
1 year of supervisory or administrative leadership experience preferred, ideally in health or community service settings.
Skills & Abilities
Strong leadership and communication skills.
Ability to work in a fast-paced environment and remain calm under pressure.
Excellent time management, problem-solving, and prioritization abilities.
Ability to train staff and promote a professional, unified team culture.
Knowledge of HIPAA, confidentiality, and safety guidelines.
Ability to maintain professionalism and handle difficult situations with tact.
