Office Manager, Student Health Services
The Office Manager for Student Health Services (SHS) provides excellent customer service and a wide range of services in support of the MSMU Student Health Centers. This includes appointment scheduling, collaboration with clinic staff at both campuses, and clinic administrative duties.
Work Location : Both, Doheny Campus (Downtown Los Angeles) and Chalon Campus (West Los Angeles). Hybrid work schedule available.

Position Hourly Rate : $24.13-$26.39
Hiring salary can be above the posted pay range if candidate's qualifications are determined to be above the minimum requirements of the position description.
Duties and Responsibilities :
- Schedules health clinic appointments for eligible MSMU students with professional staff through proficient use and understanding of the Electronic Health Record System (e.g.Medicat).
- Maintains accurate medical records and filing systems through proficient use and strong working knowledge of the Electronic Health Record System.
- Maintains detailed records to track student health clearance compliance, year-round.
- Coordinates interdepartmental and intradepartmental communications; receive and route telephone calls; send and receive email messages through departmental email box, distribute memos and notices; facilitate written communications with students, vendors, providers, and others; and coordinate mail delivery and collection.
- Provides information to students regarding student health clearance requirements,
insurance information, clinical affiliation compliance, educational programming, and
scheduling changes.
Maintains student accounting for health clinic services and maintain budget records forStudent Health Services.
Coordinates emergency responses in the absence of a professional provider.Provides office management functions including supply inventory, and collaborate withFacilities Management, Business Office, OIT, and Mailroom and Graphics to ensure smooth
office functioning.
Hires, trains, schedules, evaluates, and delegates work assignments to student employees.Participates in the creation and execution of all outreach programming sponsored by SHS.Partners with the RNs and NP to effectively and efficiently provide needed care for alleligible MSMU students seeking services within the health center.
Other Duties and Responsibilities :
Manages and create material for promotion of activities on social media.Interacts with off-campus vendors in facilitating the delivery of support services andsupplies.
Serves as an interdepartmental and intercampus liaison within the University community.Represents the Student Health Services as needed.Attends evening or weekend programs, as needed.Performs other job-related duties as assigned.Job Requirements : Knowledge :
Strong working knowledge of ambulatory care medical office procedures and general office equipment, health insurance processing, maintenance of medical records and basic alphafiling.
Working knowledge of accounting and accounts receivable principles.Good working knowledge of word processing software (Windows), desktop publishing,graphics, and database management.
Basic knowledge of Microsoft Excel worksheets.Knowledge of health education and community health programming, women's healthissues, disaster and infectious disease outbreak responses and medical terminology desired.
Abilities and Skills :
Effectively organize, prioritize, and handle multiple tasks to meet established deadlines.Excellent ability to assess situation urgency, effectively solve problems in a professionalhealthcare environment, and provide accurate information related to healthcare needs
and insurance processing.
Interact professionally with healthcare providers, students and support staff andcommunicate accurately and promptly regarding patient care management.
Build rapport and communicate / work effectively with a wide variety of people.Read comprehensively, design and create professional newsletters, draft and composecorrespondence correctly and effectively.
Flexible, detail-oriented team player who can work despite continued interruptions.Strong organization and prioritization, time management, customer service, oral / writtencommunication, basic mathematics and accounting, accounts receivable, public
relations, interpersonal, supervisory and leadership skills.
Typing at 60 wpm.Education :
High School Diploma or GED, required.Some college or associate's degree, preferred.Experience :
Minimum of two years' experience in a medical front office or college health center.Experience working with Excel software and Microsoft Word.At least one year of experience supervising front office staff preferred.Licenses and Certifications :
