Job Responsibilities & Requirements :
As our Office Admin, you’ll keep the office running smoothly and support daily operations. Your responsibilities include :
- Maintain office efficiency by maintaining appearance of common areas, organizing procedures, handling correspondence, managing filing systems, and overseeing supplies and equipment.
- Provide direct administrative support and backup as needed; this includes, but is not limited to, scheduling appointments, meetings, and events, booking employee travel, maintaining filing systems, mailing and shipping / receiving packages, general clerical support, data entry, scanning, and maintaining all employee lists.
- Oversee the day-to-day activities of the office as the main point of contact in the reception area.
- Maintain truck inventory, schedule maintenance appointments and upkeep filing and documentation.
- Track office inventory and supplies, proactively obtain purchase approval, order, and stock.
- Coordinate meetings and events, including locations, personnel and food as requested by management.
- Assist our Finance team with purchasing and proper documentation, A / R approvals, invoice and receipt backup, payroll processing, time and expense workflows, and client billings.
- Review employees’ expense reports and verify accuracy, as needed.
- Assist with the office space / infrastructure planning (moves, additions, and changes to workstations) and provide answers, resources, and solutions as requested.
- Ensure the office remains clean, uncluttered, tidy, and always professionally presentable.
- Coordinate with IT department on all office equipment needs and setup.
- Assist the HR Department with onboarding / offboarding processes and other general HR functions as needed.
- Screen phone calls and route callers to the appropriate party.
- Greet and assist office visitors and employees.
- Consistently communicate in a polite and professional manner in-person, as well as via phone and e-mail.
- Proactively maintain employee certification, experience, and education spreadsheets, enroll employees in supervisor-approved classes as requested, and maintain all documentation and tracking relevant to.
