Job Summary
The Merchandising Assistant provides critical administrative and operational support to 2–4 Buyers and an AVP, Merchandise Manager , ensuring the smooth execution of purchasing, vendor communication, and merchandising processes. This role serves as a key liaison between internal departments, external vendors, and buying teams to maintain accuracy, timeliness, and efficiency in all purchase order and product flow activities.
Key Responsibilities Purchase Orders
Prepare and write domestic and import purchase orders using the Buyer Worksheet application.
Review, revise, and process PO changes daily, ensuring accuracy and required approvals.
Collaborate with Planning & Allocation teams to expedite PO entry and electronic processing.
Ensure accuracy of ASN / EDI purchase order data , contacting vendors as needed.
Pull weekly late order reports and follow up with vendors to resolve delays or revise ship dates.
Authorize vendor shipping extensions and renegotiate costs with Buyer approval.
Track and confirm all POs generated through the buyer worksheet system.
Assist with shipment follow-up, discrepancy resolution, and vendor chargeback reconciliation.
Vendor Communication
Communicate daily with 50+ vendors across multiple merchants via phone and email.
Handle vendor inquiries, scheduling, allocation questions, and appointment requests.
Maintain and update accurate vendor contact databases.
Strengthen vendor relationships by providing timely, professional support and issue resolution.
General Office & Administrative Support
Organize and maintain reports such as the Buyer Control File and On Order Inquiry .
Coordinate travel arrangements and itineraries for assigned merchants.
Schedule vendor and agent visits at the home office.
Prepare and manage pre-production and production sample processes , ensuring timely receipt and return of samples.
Maintain the sample room , organize displays for buyer approval, and purge outdated samples.
Assist in special projects such as weekly spend grids, selling reports, and spreadsheet tracking .
Ensure compliance with Sarbanes-Oxley (SOX) by securing required Buyer and AVP signatures on all purchase orders.
Required Experience
Prior merchandising, retail operations, or administrative experience preferred.
Proficiency with Microsoft Excel, Outlook, and other office productivity tools .
Strong organizational and multitasking skills with attention to detail.
Excellent verbal and written communication abilities.
Proven ability to interact with cross-functional teams and external vendors professionally.
