Junior Legal Executive Assistant
Addison Group is partnering with a rapidly growing professional services firm that provides strategic legal and consulting support to domestic and international clients. This boutique organization specializes in complex business matters, including regulatory compliance, litigation, government contracts, real estate, and cross-border issues.
The firm is seeking a motivated Junior Executive and Personal Assistant to provide direct support to the Managing Principal. This is an excellent opportunity for an organized professional who thrives in a fast-paced, high-touch environment and wants to gain hands-on experience within a dynamic, growing team.
The Junior Executive and Personal Assistant will handle a variety of administrative, operational, and personal support tasks to help ensure seamless day-to-day operations for the Managing Principal and the firm. This role requires exceptional attention to detail, discretion, and the ability to manage multiple priorities with professionalism.
Key Responsibilities :
- Executive Support & Communication : Draft and manage correspondence, prepare client engagement materials, handle mail and calls, and maintain professionalism in all communications.
- Scheduling & Travel : Manage complex calendars, coordinate meetings across multiple time zones, and arrange domestic and international travel logistics.
- Expense & Billing Management : Process reimbursements, reconcile expense reports, and assist with payroll and invoicing using platforms such as ADP, QuickBooks, and RocketMatter.
- Document & Presentation Preparation : Format and edit documents, proposals, and presentations using Microsoft Word, PowerPoint, and Adobe Acrobat; assist with marketing and client materials as needed.
- Office Operations : Maintain office supplies, assist with policy updates, and support performance evaluations and administrative procedures.
- Recordkeeping & Reporting : Organize and maintain electronic and physical filing systems, assist in preparing reports, and ensure records are accurately updated and retained.
- Personal Assistance : Occasionally assist the Managing Principal with personal tasks such as coordinating errands, deliveries, and scheduling personal services.
Qualifications :
Experience : 25 years in an Executive or Personal Assistant role within a legal, consulting, or professional services environment preferred.Education : Associate's or Bachelor's degree required.Technical Skills : Proficient in Microsoft Office Suite and Adobe Acrobat; experience with or willingness to learn ADP, QuickBooks, and RocketMatter.Soft Skills : Highly organized, detail-oriented, and adaptable with strong communication skills and sound judgment. Must be able to manage shifting priorities and maintain confidentiality.Professionalism : Polished, proactive, and comfortable supporting senior leadership in a dynamic environment.Additional Details :
