Adult Automations Program Manager
Under direct supervision, performs work of considerable difficulty, assisting in the direction, supervision, and coordination of Adult Probation Services Division's equipment, data / records retrieval, and information needs; performs related duties as assigned.
Essential Functions :

TYPICAL DUTIES : Responsible for the day-to-day operations of the Adult Probation Services Division's computer network / office equipment / software; monitors all data entry processes; requests all necessary accounts and equipment for new employees; updates the department's webpage as approved by the Chief of Probation; compiles monthly statistics, hand counts, and performance measures from the tracking system; acts as the division's tracking system coordinator, statistics coordinator, and liaison with county / state information technology departments; tests and implements tracking system builds; trains personnel in database and equipment use; supervises support staff to ensure tasks are completed timely and accurately; responsible for records management and adhering to the Records Retention and Disposition Schedule; purges network of extraneous files; handles records requests from the Federal Bureau of Investigations, Department of Corrections, Department of Child Safety, and other state and federal probation departments; manages the Department of Corrections re-entry offender cases and outgoing Interstate Compact cases; runs and distributes reports, requests new statistical reports, and compiles statistical data as requested; reports problems to the Administrative Office of the Courts (AOC) and works with the AOC personnel to resolve issues; troubleshoots and problem solves hardware / software breakdowns with the assistance of county / state information technology departments as needed; will be a certified Arizona Criminal Justice Information Systems (ACJIS) Operator and is the department's ACJIS System Security Officer; participates in audits, assures ACJIS security is maintained and trains ACJIS terminal operators.
Minimum Qualifications :
High school diploma or equivalent, three (3) years' experience in the field of automation coordination of services management. Must possess and maintain a valid Arizona driver's license and the ability to be covered by county insurance. An equivalent combination of education and / or experience from which comparable knowledge, skills, and abilities have been achieved may be considered. PREFERRED QUALIFICATIONS : Preference may be given to individuals with AZPROs tracking system and adult probation experience and / or a Bachelor's degree from an accredited college or university.
Knowledge, Skills & Abilities :
Considerable skill in : self-control, patience, initiative, courtesy, tact, and diplomacy; establishing and maintaining a professional role; adhering to the Arizona Code of Conduct for Judicial Employees, exercising sound judgement in personal and professional matters; organization and time management skills. Ability to : effectively train employees; supervise directs; follow verbal and written instructions; establish and maintain effective working relationships with coworkers, clients, members of other agencies, and the public; communicate effectively with a diverse group of individuals; operate a computer to enter and retrieve information in a complex database; effectively work with time constraints and meet deadlines; travel to out-of-county meetings. Comprehensive knowledge of : the Probation Department tracking system AZPROs, Arizona Criminal Justice Information System (ACJIS), Spillman, and Justice Web Interface (JWI); the legal field, probation field, and statistical requirements related to both; general office procedures and practices to include record keeping, filing, and typing forms, documents, and correspondence; office equipment and software such as Microsoft Word, Outlook, and Excel; read, write, and speak English; communicate effectively verbally and in writing. WORK ENVIRONMENT : Work is primarily performed under direct supervision. Incumbent generally performs work in a typical office setting with appropriate climate controls. PHYSICAL REQUIREMENTS : Essential functions of this position require : lifting up to 10 pounds, manual dexterity, ability to communicate. Sedentary Work : Exerting up to 10 pounds of force occasionally and / or a negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects, including the human body; involves sitting majority of time; walking and standing are required, and all other sedentary criteria are met. Mental Application : Utilizes memory for details, verbal instructions, emotional stability, empathy, critical thinking, adaptability, and creative problem-solving skills.
