Preferred Residence : Queens or Bronx (must have a car for the Melville commute and access to subway for NYC sites)
Driving : YES, Commute to Long Island site; all other sites are located in NYC (Midtown and Downtown) and accessible by subway
Summary :
The Area Customer Service Coordinator plays a key role in delivering daily operational support across multiple customer locations. This customer-facing role provides coverage for mailroom, print production, reception, hospitality, and general office services at client sites in New York City and Melville, NY. The individual will be responsible for supporting daily operations, site coverage, implementations, and expansions while ensuring exceptional customer service and adherence to Ricoh Service Excellence standards.
Key Responsibilities :
Provide multi-site coverage for contracted services including mailroom, print production, hospitality, reception, and office support.
Operate and maintain copy / print equipment (loading paper, replenishing toner, clearing jams, binding, assembling print jobs).
Support mailroom operations including receiving, sorting, and delivering mail / packages; coordinate with USPS, UPS, FedEx, and other courier services.
Greet and assist visitors, answer / forward calls, and provide reception services.
Assist with scheduling conference rooms, setup / take-down, and maintaining office / kitchen areas.
Conduct daily visual inspections of sites for compliance with Ricoh and customer standards.
Escalate customer issues to management and support resolutions in a timely manner.
Assist management with process improvements, procedural testing, and documentation.
Participate in onboarding and cross-training of new team members.
Flexibly report to alternate sites as needed; may require mid-day reassignment.
Submit accurate monthly expenses, when applicable.
Perform other related duties as assigned.
Qualifications & Requirements :
Experience : Prior experience in print production, mailroom, reception, or hospitality services strongly preferred.
Industry Experience : Law firm background is a plus.
Technical Skills : Proficiency in Microsoft 365 (Outlook, Teams, Word, Excel); general computer knowledge required.
Customer Service Skills : Strong interpersonal skills, professional demeanor, and ability to communicate effectively with clients and colleagues.
Reliability : Punctual, dependable, and adaptable to changing site assignments.
Physical Requirements :
Ability to stand, walk, bend, and lift packages up to 50 lbs.
Occasional movement of equipment on wheels (up to 400 lbs.) for service purposes.
Walking between buildings may be required at some sites.
