Receptionist - Overnight Shift

The Residence at Dania Beach -

Basic Function:

Assist the Business Office Director and/or Executive Director in areas pertaining to the day to day operations of the business office.

Duties and Responsibilities:

• Greet visitors.
• Answer incoming calls in a professional manner and determine purpose of call and transfer call.
• Take and deliver messages.
• Responsible for ensuring all guests, vendors and families sign in and out of facility.
  
• Mail sorting, distribution and forwarding of mail
  
• Collection of guest meal money
  
• Creating and copying of resident/facility memos and flyers as needed
  
• Provide general administrative and clerical support including scanning, faxing and copying to management.
• Schedule appointments for the residents
  
• Generate reports and other documents.
• Maintain front desk procedures including contact information, directions and frequently asked questions.
• Prepare and modify documents including correspondence, reports, drafts, memos and emails.
• Scheduling of beauty shop appointments
• Mail sorting, distribution and forwarding mail
• Responsible for keeping accurate log of resident face sheet
• Responsible for keeping accurate and up to date census roster and FOS
• Distributing a copy of the census roster to each department head
• Directing resident concerns to appropriate Department Heads
• Typing, filing and miscellaneous copying as requested

Requirements:

• Must have at least 2 years clerical experience
• Computer and software skills
• Ability to prioritize given tasks and work efficiently towards completing them.
• Must have good verbal and written communication skills.
• Must have great organizational skills.
• Must have great customer service and interpersonal skills.
