JOB SUMMARY : The Litigation Support Specialist is responsible for managing contested cases in active litigation and filing pleadings and related documents with courts across multiple states. Key responsibilities include processing contested case pleadings, entering and maintaining data across various software and filing platforms, managing multiple attorneys' calendars, conducting case investigations, and providing direct support to attorneys.
This role also involves regular communication with court clerks, researching state-specific debt collection regulations, and assisting with litigation tasks such as trial preparation and motion practice. The Litigation Support Specialist will additionally provide general support to the legal team, including legal research and other assigned projects as needed.

Essential Job Functions
The Litigation Support Specialist is responsible for performing a variety of tasks to support attorneys and the litigation process, including but not limited to :
- Processing contested case pleadings, managing multiple attorneys' calendars, and ensuring timely filing of documents.
- Preparing and producing motions, discovery, disclosures, and other litigation-related documents, as well as scheduling court dates.
- Reviewing contested case pleadings, documents, and communications to identify opposing parties' defenses.
- Coordinating with attorneys and appearance counsel to ensure appropriate coverage for upcoming court dates.
- Managing attorneys' schedules and finalizing dates for mediations, arbitrations, hearings, trials, and conferences.
- Ensuring all necessary documentation is obtained, organized, prepared, and filed throughout the litigation process.
- Communicating issues, updates, or potential problems to management and attorneys as they arise.
- Ensuring compliance with state-specific filing requirements for each jurisdiction.
- Preparing files for litigation, court appearances, reporting, and attorney correspondence.
- Tracking and updating case information in Q-Law and other systems.
- Conducting case investigations with courts, including checking case status, filing details, and upcoming appearances.
- Performing legal research, including identifying proper filing procedures for new and existing states.
- Handling administrative tasks such as creating, printing, notarizing, sorting, stapling, and mailing documents.
- Assisting team members and providing support on projects or tasks as needed.

The Litigation Support Specialist receives clear and specific instructions and follows established procedures with ongoing supervision. Work is reviewed for accuracy, completeness, and adherence to guidelines.Most issues encountered in this role are routine, with known solutions based on prior experience or established processes. Some tasks may require evaluating alternative courses of action and making informed decisions after considering available options.This position is responsible for consulting with attorneys and researching state-specific filing procedures. When assisting with the implementation of new states or processes, the Litigation Support Specialist must be able to identify potential issues and problem-solve to ensure the filing process complies with applicable requirements.If a problem arises that has not been previously encountered, the employee is expected to consult with an attorney, team lead, or manager for guidance. Most assignments are completed in accordance with standard practices, instructions, or prior training.While e-filings are generally straightforward, repetitive, and routine, the implementation of new states or processes may require interpreting unfamiliar state rules and collaborating closely with attorneys to ensure full compliance with filing regulations.Qualifications
EXPERIENCE, KNOWLEDGE, SKILLS and ABILITIES REQUIREMENTS :
Education : Some college coursework or equivalent experience required.Experience :2-3 years of experience in a similar administrative or legal support role.
2-3 years of experience in civil law; civil litigation experience preferred.Previous experience with Q-Law or similar case management systems is a plus.Knowledge :Strong understanding of motions, discovery, evidence, litigation documentation, court rules, and filing procedures.
Familiarity with multi-state court processes and debt collection regulations preferred.Skills and Abilities :Exceptional attention to detail with the ability to multitask and prioritize workload in a fast-paced environment while meeting strict court deadlines.
Strong critical thinking and analytical skills to assess case details and determine appropriate actions.Ability to assist attorneys throughout all phases of the litigation process.Proven ability to maintain composure and accuracy under pressure.Minimum typing speed of 45 words per minute and proficiency with 10-key by touch.Intermediate proficiency in Microsoft Office Suite (Word, Excel, and Outlook).Excellent problem-solving skills, with the ability to streamline workflows and improve efficiency.Strong interpersonal and communication skills, with the ability to interact professionally with employees at all levels, court clerks, and external parties.Team-oriented mindset with consistent follow-through and results-driven approach.Self-motivated and adaptable, with a strong work ethic and ability to quickly grasp new concepts.Demonstrated high ethical standards and ability to maintain confidentiality in all matters.Job Posted by ApplicantPro
