This role manages compliance with fiscal policies, GAAP, federal Uniform Guidance, and funder regulations, collaborates closely with Jitasa (FPGWCs external accounting partner), and prepares accurate budgets, reports, and grant invoicing to sustain organizational accountability and transparency. In addition to financial oversight, the position directs procurement and facilities-related operations, administers benefits, and manages organizational systems that support day-to-day efficiency. Working in partnership with the Executive Director, staff, and external partners, the Accounting & Operations Manager plays a key role in strengthening FPGWCs infrastructure, ensuring compliance, and fostering a positive, inclusive work environment.Essential Duties : Accounting and Financial Management Support (50%) : Consistently monitor internal expenses to ensure compliance with FPGWC fiscal policies & procedures, as well as with government & private funder regulations.Assist in design / maintenance of internal controls to confirm that all expenditures are necessary, reasonable, allowable, allocable, and properly documented.Ensure compliance with internal controls and regulations (e.g. GAAP, Uniform Guidance 2 CFR 200)Manage and maintain strong relationships with Jitasa (FPGWCs external accounting partner) and any other external funding partners.Prepare and ensure timely submission of reimbursement-based grant & contract invoicing / billing to funders per award terms.With leadership from the Executive Director, draft annual / six-month department & project-specific budgets, track expenditures within the budget, refine budgeting methodology, and develop tools to improve accuracy and efficiency.Review and analyze monthly financial reports for operational oversight, and produce financial and metrics reports for funders and leadership to support forecasting, strategic planning, and informed decision-making.Manage and facilitate ongoing third-party bill-pay processes through Bill.com per FPGWC fiscal policies & procedures, as well as relevant funder regulations.Organizational Operations (30%) : Manage vendor relationships by securing bids, negotiating terms, and maintaining approved vendor records in alignment with FPGWC procurement policies.Oversee facilities maintenance & repair procurement, purchasing, scheduling, & payment processes, including preparing purchase orders, coordinating service delivery timelines, ensuring all purchases are authorized, documented, and cost-effective, and paid in a timely manner.Operational Systems Management : Manage organizational utility, insurance, time-tracking, mileage, mail systems, etc.Administration (20%) : Perform benefits administration including facilitating claims resolution, auditing carrier invoices for accuracy and payment, and communicating benefit information to employees.Collaborate with the ED to provide employee relations counseling, investigate employee concerns as they arise, facilitate conflict resolution processes, and conduct exit interviews as necessary.Assist hiring managers with the hiring process, new-employee orientation and initial onboarding.Office Admin : Complete mail runs, answer / direct phone calls, deposit checks, and maintain the mail tracking system, office filing system, equipment, hardware and software, basic IT troubleshooting / support, coordination with external IT vendor for system updates and issue resolution, and inventory / purchasing of office equipment.Team Support : Prepare meeting agendas, document meeting minutes, and maintain electronic archives.Attend and contribute to scheduled staff meetings, FPGWC special events, training sessions, and leadership meetings.Qualifications : Education : Bachelor's degree in Accounting, Finance, Business Administration, Human Resources, or a related field.Experience : A minimum of 3 years of accounting, financial, budgeting, or grant management experience required.Experience in the non-profit / Social Services industry is a plus.Experience supervising or leading the work of others; 2 years preferred.Experience with grant invoicing and reporting; 2 years preferred.Experience with HR management; 2 years preferred.We will consider any combination of education and experience that provides the necessary knowledge, skills, and abilities to perform the duties and responsibilities of the position.Knowledge and experience working with QuickBooks or similar accounting software.Proficient in the use of the Microsoft Office Suite and Google platforms and services, internet services, as well as computer and mobile applications.Familiarity with various accounting computer programs and advanced knowledge of Microsoft Excel.Communication and Language : Ability to understand and communicate complex financial information.Excellent written and verbal communication skills.
