Division Assistant
Join our Power Systems Engineering Division (PSED) and play a vital role in keeping operations organized and running smoothly. As a Division Assistant youll provide critical clerical, administrative, and customer service support across multiple teams. From managing executive calendars and coordinating meetings to tracking project documentation and vendor records, youll ensure processes flow efficiently and communication is seamless across internal and external stakeholders. This is a hybrid role based at MEPPI's headquarters in Warrendale, PA (~15 mi north of Pittsburgh). While regular onsite presence is not required, candidates must reside within commuting distance and be available to work onsite when valid business needs arise.
What Youll Do
Support Stakeholder Engagement
- Coordinate communication with external partners, customers, and vendors by managing meeting logistics, correspondence, and timely follow-up.
- Assist Division Leadership
- Act as liaison to internal departments on behalf of PSED leadership.
- Maintain the Division VPs calendar, manage scheduling priorities, and prepare briefing materials.
Document & Data Management
Prepare and maintain requisitions, software licenses, POs, maintenance agreements, NDAs, customer and contract records, and other documentation.Track expiration dates and ensure timely renewals.Vendor & System Coordination
Handle vendor setup, maintain records, and enter project and opportunity data into MEPPI business and document systems.Travel & Event Planning
Arrange travel and maintain the divisions travel calendar.Coordinate logistics for meetings, training sessions, and social functions including venues, catering, and materials.Reporting & Audits
Generate and distribute reports from internal systems.Support audit activities by preparing and organizing documentation and compliance tracking.Internal Communication
Draft and distribute announcements and messages on behalf of division leadership to support alignment and transparency across teams.What Youll Bring
Associate degree or Business School certification, with at least 3 years of administrative or clerical experience.Reside within a reasonable commuting distance of MEPPI Headquarters in Warrendale, PA.Ability to manage multiple priorities independently.
