Duties & Responsibilities
Congress Management & Logistics
- Maintain the master congress spreadsheet across Marketing, Sales, and Market Access-sponsored meetings.
- Coordinate all logistical details to ensure smooth, disruption-free execution.
- Partner with the Brand Lead to submit and track sponsorship applications, ensuring timely approval, payment, and placement confirmations.
- Manage congress vendors, oversee deliverables, and ensure all handoffs meet internal and external deadlines.
Speaker Bureau & Program Execution
Manage speaker contracting, onboarding, and required training documentation.Coordinate speaker logistics and ensure all communications are clear, timely, and complete.Work with vendors to arrange speaker travel and accommodations for product theaters and in-practice programs.Material & PRC Management
Route smaller deliverables through PRC / MLR, including invitations, signage, and presentation materials.Ensure materials are printed, shipped, and delivered accurately and on time to meeting locations.Cross-Functional Communication
Support Sales, Market Access, and Marketing teams with pre-conference logistics (badges, hotels, location details).Coordinate post-conference surveys and debriefs to support year-over-year investment evaluation.Maintain seamless communication across all teams to ensure alignment and flawless execution.Skills & Competencies
1. Project & Event Management
Experience with congress / event planning and managing complex logistical workflows.Skilled in maintaining master tracking documents and coordinating multiple deadlines.Strong vendor management and oversight capabilities.2. Organizational & Administrative Skills
High attention to detail and excellent time-management skills.Experience with speaker contracts, onboarding, training, and scheduling.Ability to manage routing and approval processes (PRC / MLR / MLR).3. Communication & Collaboration
Strong communication across Sales, Marketing, Market Access, and external partners.Ability to support pre- and post-conference communication workflows.Skilled in coordinating feedback and tracking follow-ups.4. Vendor & Stakeholder Management
Oversee vendors to ensure timely and accurate deliverables.
