Job Description
A private family office based in Tribeca is seeking an experienced Art Archivist / Artist Assistant to maintain, organize, and upload all digital assets of an extensive art collection and related photographs into the family office archives. This role requires close collaboration with the direct manager, principals, and artists to ensure the proper preservation, organization, and enhancement of the collections. The ideal candidate will be passionate about art, highly organized, and proactive in supporting both creative projects and archival needs.
Responsibilities
- Catalog and maintain information in the database, including materials, locations, reference numbers, and condition notes.
- Upload and organize digital assets, ensuring accuracy and consistency in archival records.
- Assist in prioritizing photo materials for digitization and ensure secure storage of collections.
- Edit digital photographs using Adobe Photoshop (cropping, enhancements, scaling, and lighting adjustments).
- Provide hands-on support to the artist with studio operations and creative projects.
- Assist in preparing materials for exhibitions, presentations, or family events.
- Select and manage photographic or art-related materials as required for various projects.
- Manage procurement of archival materials and assist in acquisitions for the collection.
- Coordinate communication and logistics with galleries, auction houses, and other institutions.
- Ensure safe handling, transport, and relocation of works in the collection.
- Work closely with the manager and principals to set goals for improving archival practices and workflows.
- Provide input on enhancing organization, accessibility, and overall efficiency of the collection.
Requirements
3–5 years of experience managing art collections or serving as an artist assistant in a similar capacity.Bachelor’s degree in Art, Art History, Design, or a related field with a focus on archives and preservation.Strong proficiency in Adobe Photoshop; familiarity with Adobe Creative Suite (Illustrator, Lightroom) preferred.Background in design, photography, or art history with a strong visual sensibility.Knowledge of modern archival theory, standards, and best practices.Exceptional attention to detail, organizational ability, and problem-solving skills.Excellent communication and presentation skills, both written and verbal.Ability to work independently as well as collaboratively within a team.Physical ability to lift and move objects up to 25–30 lbs.Valid U.S. work authorization.Strong references from current and previous employers.SSIN456
