Job Description :

The Finance & Operations Associate is a key member of the Alumni Relations Finance & Operations team, supporting the department's financial management, operational systems, and cross-departmental projects. Reporting to the Associate Director for Finance & Operations, this role manages contracts, invoices, vendor relationships, and day-to-day financial transactions while ensuring compliance with University policies and procedures.

The Associate serves as a first-line contact for Alumni Relations staff with financial and operational questions, providing guidance, reporting, and documentation that strengthen financial fluency and program planning. The role also produces reports and data exports from Workday and assists staff with interpreting and applying financial information.

An integral responsibility of this position is serving as the finance and operations partner for the Alumni Experiences team, supporting high-profile alumni events and programs such as Reunion and Commencement. In this capacity, the Associate manages contracts, payments, and vendor processes to ensure seamless program delivery. The position also contributes to broader administrative and operational support across Alumni Relations, particularly during peak activity periods.

Education and Experience

  • Bachelor's degree or equivalent combination of education and experience.
  • Minimum of 2 years of experience in a related field such as fundraising, higher education, banking, nonprofits, sales, or customer service.
  • Experience in an academic setting preferred
  • Experience with Workday Financials and / or QuickBooks a plus

Job Competencies

  • Customer service experience with a strong service-minded philosophy.
  • Strong interpersonal skills and ability to communicate effectively with University partners
  • Experience in effectively communicating key data in a user-friendly and concise manner to individuals with varying levels of financial acumen.
  • Demonstrated proficiency with Excel, including pivot tables, formulas, spreadsheets, and databases.
  • Ability to problem-solve and troubleshoot issues when appropriate.
  • Ability to manage multiple tasks and priorities in a fast-paced, multi-faceted work environment with emphasis on accuracy and deadline adherence.
  • Ability to work occasional nights and / or weekends.
