The Job

The Association Manager provides the highest level of service in assisting the association with preserving and enhancing the value of their community and homes.

Job Duties Include :

  • Conduct community board meetings. File meeting minutes accordingly.
  • Review, interpret and ensure compliance with POA documentation.
  • Schedule repairs with contractors. Meet contractors and / or board members on property as needed.
  • Negotiate vendor contracts.
  • Document potential liabilities for the Association and notify VP.
  • Respond to homeowners' requests or complaints in a timely, efficient and courteous manner.
  • Assemble homeowner packages for annual meetings.
  • Send welcome packages to all new property owners.
  • Gather all information needed for filing annual taxes.
  • Keep accounting of property expenses to ensure reimbursement for Aileron Management.
  • Review and distribute monthly financials to board members for each property.
  • Monitor collections. Mail monthly late notices when applicable.
  • Turn in information to attorney for lien procedures.
  • Maintain Association gate system information.
  • Provides input into the development of budget(s) for the property by analyzing and evaluating financial statements, reviewing current and projected marketing information, and accessing operational reports that establish historic and predict performance patterns.
  • Approves invoices from vendors, contractors, and service providers for payment by reconciling work performed or products purchased, ensuring validity of certificates of insurance, coding charges to appropriate Chart of Account codes, and managing communication between the vendor / contractor, accounting, and the client / owner as needed.
  • Controls expenditures by staying within the constraints of the approved budget.
  • Conducts regular property inspections and takes appropriate actions to ensure that the physical aspects of the property, grounds, buildings, and amenities meet established standards for safety, cleanliness, and general appearance and appeal.
  • Operates the property management software and completes transactions by entering all required fields correctly and by completing updates and back-ups to ensure the integrity of the system.

    Requirements :

  • High School Diploma or GED required. Undergraduate degree preferred.
  • Strong verbal and written communication skills.
  • 1 year of related experience preferred.
  • Property Manager Certification preferred.
  • Work Environment

    This job operates in a professional office environment. This role routinely uses standard office equipment.

    Physical Demands

    While performing the duties of this job, the employee is occasionally required to stand; walk; sit; use hands to handle or feel objects, tools or controls; reach with hands and arms; climb stairs; communicate or listen. The employee must occasionally lift or move office products and supplies, up to 20 pounds.
