Dental Office Operational Manager
About Our Practice
Smiles of Winters is a patient-focused, privately owned dental practice that provides high-quality care in a friendly, professional environment. We are looking for an experienced Dental Office Manager to lead our front office team, support our doctors and hygienists, and ensure the practice runs smoothly day to day.
Key Responsibilities
Leadership & Operations
- Oversee daily front office operations, ensuring an efficient, welcoming patient experience
- Supervise, train, and schedule front office team members (reception, treatment coordinators, etc.)
- Develop, implement, and maintain office policies, systems, and workflows
- Coordinate with the clinical team to optimize provider schedules and production
Scheduling & Patient Experience
Manage and optimize the schedule to reduce no-shows and fill openingsEnsure patients are greeted warmly, checked in / out accurately, and handled professionallyOversee confirmation, recall, and reactivation systemsHandle escalated patient concerns and resolve issues with tact and professionalismFinancial & Insurance Management
Oversee patient billing, collections, and payment arrangementsReview and submit insurance claims; follow up on outstanding claims and aging reportsVerify insurance benefits and ensure accurate financial presentations to patientsMonitor practice KPIs (production, collections, AR, case acceptance, hygiene reappointment, etc.) and report to the doctor / owner regularlyCompliance & Administration
Ensure compliance with HIPAA and OSHA regulationsMaintain accurate patient records and documentationCoordinate with vendors, IT, and service providers as neededSupport hiring, onboarding, and performance reviews for front office team membersQualifications
Required :2–3+ years of experience in a dental office role (office manager, treatment coordinator, lead front desk, etc.)
Strong understanding of dental insurance, billing, and schedulingProficiency with dental practice management software (e.g., Dentrix, Eaglesoft, Open Dental, etc.)Excellent communication, customer service, and problem-solving skillsPreferred :Previous experience as a Dental Office Manager
Familiarity with [software your office uses]Experience with multi-provider or multi-specialty practicesKey Skills & Attributes
